Overview
We are seeking a highly organized and detail-oriented Office Manager to oversee the company’s financial and administrative operations. This position is responsible for managing accounts receivable (AR) and accounts payable (AP), reconciling company bank accounts and credit cards, handling service agreements, ensuring timely tax payments, maintaining company certifications and licenses, and overseeing bookkeeping functions. The ideal candidate will play a key role in ensuring the smooth operation of the office by managing financial records, coordinating administrative tasks, and supporting company leadership.
Responsibilities
- Accounts Receivable (AR) & Accounts Payable (AP): Ensure accurate invoicing, monitor collections, process vendor payments, and manage financial transactions.
- Bank & Credit Card Reconciliation: Perform regular reconciliation of company bank accounts and credit cards to ensure accuracy and compliance.
- Bookkeeping: Maintain financial records, general ledger entries, and financial reports in accordance with accounting standards.
- Service Agreements & Vendor Management: Review, negotiate, and manage service agreements with vendors to ensure compliance and cost-effectiveness.
- Tax Payments & Compliance: Prepare and submit tax payments on time, coordinate with external tax professionals, and ensure compliance with local, state, and federal tax regulations.
- Company Certifications & Licenses: Maintain up-to-date business certifications, industry licenses, and other regulatory requirements.
- Administrative Operations: Oversee day-to-day office functions, including ordering supplies, coordinating schedules, and ensuring office efficiency.
- Process Improvement: Develop and implement administrative and financial policies and procedures to improve efficiency and accuracy in company operations.
- Liaison with External Auditors & Accountants: Provide necessary documentation and reports for audits, tax filings, and financial assessments.
- Support Leadership Team: Assist company leadership with administrative tasks and special projects as needed.
Requirements
- Bachelor’s degree in business administration, Accounting, Finance, or a related field (or equivalent experience).
- Proficiency in accounting software (QuickBooks or similar) and Microsoft Office Suite, particularly Excel.
- Strong understanding of financial statements, bank reconciliations, and tax regulations.
- Excellent attention to detail, organizational skills, and problem-solving abilities.
- Ability to handle confidential information with integrity and professionalism.
- Strong communication skills and ability to work independently.
- Experience in the landscaping, construction, or service industry is a plus.
