Overview
The Automation and Optimization Specialist is responsible for supporting the design, documentation, and implementation of business process improvements. This role will work closely with the Manager of Automation and Optimization to ensure project timelines are met, process changes are effectively communicated, and documentation is up-to-date. The Specialist will play a key role in tracking progress, managing Kanban boards, and creating high-quality project documentation and presentations.

Responsibilities
- Process Documentation: Develop and maintain comprehensive documentation for business process improvements, including workflows, project changes, and standard operating procedures.
- Project Tracking: Monitor project timelines and milestones using Kanban boards, ensuring updates are communicated effectively to stakeholders.
- Presentation Development: Create polished slide decks and presentations to support project proposals and updates.
- Change Management Support: Document changes, ideas, and outcomes for projects and processes, ensuring transparency and traceability.
- Tool Utilization: Use tools such as Salesforce, ServiceNow, Visio, and Miro to facilitate automation and optimization efforts.
- Collaboration: Work with cross-functional teams to gather input and provide support in implementing process changes.
- Project Notes: Take detailed meeting and project notes, organizing them for easy access and future reference.
Qualifications
- REQUIRED
- Bachelor’s degree in Business, Operations, or a related field or equivalent years of relevant experience required.
- At least two years of proven experience project managing technical business processes required.
- Strong organizational and time-management skills with the ability to handle multiple projects simultaneously required.
- Excellent written and verbal communication skills required.
- Proven experience with project management tools and documentation software required.
- Proficiency in Microsoft Office Suite, including PowerPoint, Word, and Excel required.
- Analytical mindset and attention to detail required.
- PREFERRED
- Experience with Salesforce, ServiceNow, Visio, and Miro strongly preferred.
- Familiarity with process improvement methodologies (e.g., Lean, Six Sigma) strongly preferred.
- Understanding of Kanban boards and their application in project tracking preferred.
- Experience with creating and managing professional slide decks strongly preferred.
- Knowledge of telecommunications or related industries preferred.
PHYSICAL REQUIREMENTS/WORKING CONDITIONS: Must be able to sit for long periods of time and use computer keyboard and/or mouse, while viewing computer screen, as well as a telephone. Must be able to work a flexible schedule shared by other department members including some evenings and weekends.
