Job SummaryAdministrative Assistant to Director of Transitional Living
This individual will be support to the Transitional Living Director. Provide indirect client care in the office/clinic setting. Perform clerical duties including entering data into TN Wits and TIER. Meet the communication needs of the client/family, office/clinic staff and the medical staff.
Arrange for the efficient and orderly admission of inpatient and outpatient into all programs that qualify for ARP funding. Ensure the client information is collected and clients are aware of facility policies and procedures. Enter information required for admission and status reviews into computer database. Distribute appropriate information to counselors and medical personnel. Participate in performance improvement.
Duties and Responsibilities:
· Maintain confidentiality for all clients
· Compile and distribute meeting minutes
· Demonstrate excellent organizational skills
· Maintain a good working relationship within the department and with other departments
· Participate in Treatment Team meetings, attend staff meetings as required, and generate reports
· Has an understanding of the field of addiction and working with those affected with alcohol/drug issues
· Assist with overall maintenance of the organization and its offices
· Order supplies for the program
· Communicate the mission, ethics and goals of the hospital, as well as the focus statement of the department
· Effectively and consistently communicate administrative directive to personnel and encourages interactive departmental meetings and discussions
· Represent the organization in a positive and professional manner
· Maintain a good rapport and a cooperative working relationship with departments and staff
· Prepare and complete intake paperwork for client enrollment in ARP
· Maintain client info list that is available for ARP funds tracking enrollments and vouchers
· Perform clinical and financial assessments, review and evaluate data and refer client to most appropriate level of care
· Complete admissions process, ensure all paperwork is completed and necessary information is obtained
· Responsible for obtaining signatures on releases.
· Provide information to the client/representative about billing, complaint process, client rights, HIPAA and visiting hours
· Communicate appropriately and clearly to supervisor, nurse managers, coworkers and physicians
· Consults other departments as appropriate to provide for an interdisciplinary approach to the client’s needs
· Responsible for knowing facility policies and being familiar with facility services available
· Refer client to the Financial Counselor when financial arrangements need to be made
· Demonstrate an ability to be flexible, organized and function well in stressful situations
· Assist with maintenance of records, preparation and submission of reports as needed
· Treats clients and their families with respect and dignity; ensure confidentiality of clients’ records
· Interact professionally with client/family and provides explanations and verbal reassurance as necessary
· Ensure documentation meets current standards and policies
· Answer the telephone in a polite manner and communicates information to the appropriate personnel/family member
· Perform other duties as assigned
Regulatory Requirements:
· High School Diploma or equivalent preferred
· At least three (3) years’ experience in general office responsibilities and procedures
· Valid Driver’s License required
· One-year experience in office setting or hospital setting preferred
· Personal cell phone will used for two factor authentication
Language Skills:
· Ability to effectively communicate in English, both verbally and in writing
· Additional languages preferred
Skills:
· Basic computer knowledge
· Excellent interpersonal skills
· Good writing, analytical and problem-solving skills
· Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and facsimile machines
· Knowledge of principles and practices of basic office management and organization
· Ability to follow oral and written instructions
Job Type: Full-time
Pay: From $16.00 per hour
Expected hours: 40 per week
