What are the responsibilities and job description for the Clerk - Sheriff Department position at Calhoun County of Michigan?

Under the direct supervision of the Support Services Manager or Law Enforcement Commander, performs all clerical functions assigned to the Support Services Division including law enforcement and jail records, civil process, administrative reception and switchboard.

  1. Receives telephone calls and visitors to Sheriff’s Department, answering questions, providing requested information, scheduling appointments or referring to appropriate individual.
  2. Process jail and law enforcement records which includes FOIA requests, verification of incarceration, sex offender registrations, citations, file maintenance and archiving.
  3. Processes money received for housing, emergency response, FOIA requests, background checks, writs, summons, etc.
  4. Processes background inquiries for governmental agencies and     individuals.
  5. Processes warrants for L.E.I.N. entry and letters for L.E.I.N verification.
  6. Processes State abandoned vehicle forms including sending letters to owners and filling out L.E.I.N. entry forms for vehicles.
  7. Processes purchase permit requests.                
  8. Processes and tracks criminal subpoenas and notices to appear.
  9. Performs other duties as assigned.
  • The job requires knowledge normally acquired through the completion of specialized training with course emphasizing computer applications and business skills.
  • One to two years of experience in an office environment.
  • Interpersonal skills necessary to communicate with County personnel and the general public in situations requiring tact and patience.
  • Computer skills necessary to effectively utilize word processing, database and spreadsheet software systems.
  • Mental ability to frequently handle simultaneous projects requiring concentration and attention to detail with frequent distractions due to people and/or telephone calls. Incumbent is periodically required to handle pressures related to meeting deadlines, fulfilling scheduling requirements, etc. Incumbent is frequently required to handle pressures dealing with concerned citizens, employees, etc.
  • Physical ability to periodically transport items weighing up to twenty-five pounds. Incumbent is frequently required to stoop or bend to accommodate different working positions. Incumbent is frequently required to sit for extended periods of time. Incumbent is occasionally required to perform repetitive movement and/or work in confined areas.

  • Work includes occasional exposure to noise, fumes and/or odors and frequent exposure to dirt and/or dust.
  • Work may include occasional contact with infectious disease.
  • Intermittent or cyclical work pressures are occasionally experienced.
  • Extended work days (beyond eight hours/day) are occasionally required.
  • On-call availability to handle work problems, attend meetings, handle emergencies/crisis situations, etc. at all hours is occasionally required.
