Office Administrator – Hill Crane Service

Location: Phoenix, Arizona

Position Type: Full-Time

Reports To: Branch Manager

Job Summary:

We are seeking a highly organized and detail-oriented Office Administrator to support our daily operations at Hill Crane Service. This role requires strong communication skills, the ability to multitask, and a proactive approach to administrative tasks. The ideal candidate will assist management, dispatch, and office personnel in ensuring smooth branch operations while maintaining compliance with company policies and union regulations.

Key Responsibilities:

  • Administrative Support: Work closely with management to assist in various administrative tasks, ensuring training and operational efficiency.
  • Timecard Job Ticket Management: Process and review employee timecards and E-Tickets Daily, ensuring accuracy and compliance with hourly union rules.
  • Invoicing & Accounts Coordination: Assist with invoicing, payment tracking, vendor management, PO requisitions and communication with the main office in Long beach regarding Accounts Receivable and Accounts Payable.
  • Dispatch Support: Assist management with dispatch in assigning equipment and coordinating daily crew schedules based on availability and job requirements.
  • Field Communications: Answer and direct phone calls, providing excellent customer service and support with internal and external contacts.
  • Office Management: Maintain office supplies, organize documents, and ensure all records and training files are up to date.

Qualifications & Skills:

  • Previous administrative experience, preferably in the construction, crane rental, or equipment rental industry.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software.
  • Familiarity with NextGen and Team Up programs is a plus but not required.
  • Knowledge of DOT, MSHA regulations is a plus.
  • Strong communication skills to interact effectively with employees, customers, and vendors.
  • Ability to work independently, stay motivated, and ensure accuracy in all tasks.
