Job Summary
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will support daily operations by performing various administrative tasks, ensuring smooth office functionality, and assisting with financial record-keeping. This role is essential in maintaining effective communication within the office and with clients, while also managing essential accounting functions.
Duties
- Perform general administrative tasks such as filing, data entry, and maintaining office supplies.
- Assist with accounts receivable processes, including invoicing and tracking payments.
- Support payroll processing by gathering necessary employee information and verifying time records.
- Conduct balance sheet reconciliation and general ledger reconciliation to ensure accuracy in financial reporting.
- Utilize QuickBooks or Quicken for managing financial transactions and maintaining accurate records.
- Collaborate with the accounting team to understand financial concepts and assist in account reconciliation.
- Maintain organized records of financial documents and ensure compliance with public accounting standards.
- Provide excellent customer service by responding to inquiries and assisting clients as needed.
Requirements
- Proficiency in QuickBooks or Quicken is preferred; experience in public accounting is a plus.
- Strong understanding of accounts receivable processes and payroll management.
- Familiarity with balance sheet reconciliation, general ledger reconciliation, and account reconciliation practices.
- Knowledge of financial concepts and technical accounting principles is advantageous.
- Excellent organizational skills with a keen attention to detail.
- Strong communication skills, both written and verbal, to effectively interact with team members and clients.
- Ability to work independently as well as collaboratively within a team environment.
- Previous experience in an office setting is preferred but not required.
