Job Summary
The Supply Clerk is responsible for overseeing the inventory and distribution of materials, supplies, and equipment within an organization. This position requires attention to detail, strong organizational skills, and the ability to coordinate with different departments to ensure that supplies are properly managed and distributed in a timely manner. This position answers directly to the Estimator and Project Coordinator.
Essential Functions:
- Works closely with other Port Departments including Purchasing and Accounts Payable.
- Scans in documents and forwards them to clerical staff or immediate supervisor for processing
- Creates purchase request documents and forwards them to supervision for review and approval
- Work with management to insure efficient operation while maintaining adequate inventories of commonly used parts equipment and material
- Maintains adequate inventories to minimize toward eliminating emergency material pickup events for normally stocked parts
- Picks up and delivers supplies and/or materials
- Inventories stock on hand and requests supplies as needed
- Fills orders or issues supplies upon proper authorization to line employees
- Provides information and recommendations on stock items and billing to other departments.
- Communicates with vendors, both verbally and in writing, on matters relating to supplies
- Delivers items to end users in original containers whenever possible
- Maintains records and prepares necessary reports using Port accounting and computer network.
- Conducts quarterly and annual inventory counts to assure that remaining quantities of material balance with established purchase and dispersal records
- Ability to comprehend, carry out and explain complex verbal and written instructions or information
- Working knowledge of Microsoft Office products
- Ability to learn and proficiently use Port email and Maximo CCMS software
- Verifiable ability to create and maintain accurate and complete repair and preventative maintenance records (purchase orders, material requisitions, work orders, governmental compliance records, inventory etc.)
- Knowledge and commitment to maintain inventories free of damage and loss or waste of Port property that is in their care and custody
- During emergency conditions, all CPA employees are automatically considered essential employees and may be subject to recall. These events may include, but are not limited to, natural, man-made, or public health emergencies. Employees may be expected to perform emergency and/or recovery operations outside of their normal assigned responsibilities and routine working hours.
Minimum Qualifications:
- High School Diploma or GED equivalent
- Proven experience as a supply clerk or in a similar role is preferred.
- Strong organizational skills and attention to detail.
- Basic knowledge of inventory management software or databases.
- Excellent communication skills, both written and verbal.
- Ability to lift and carry supplies as needed.
- Ability to work independently and as part of a team.
Licenses / Certification Required:
- Must possess a valid Florida Driver’s License or the ability to obtain one within 30 days
- Able to secure a Transportation Worker Identification Credential (TWIC)
Physical Requirement:
- This is a safety sensitive position
- Must be able to work in all types of weather
- Ability to lift 100 lbs
Environmental Requirements:
- Exposure to the outside elements
- This position may require standing, walking, and lifting supplies during daily activities.
- Working hours are typically during regular business hours, with occasional overtime or weekend work depending on business needs.
