What are the responsibilities and job description for the Executive Administrative Assistant position at Candidate Experience site?
We are looking for an Executive Administrative Assistant who will support the President of Cetera Solutions and thus contribute to our firm’s goal of providing financial advice that makes a difference in people’s lives.
The Executive Administrative Assistant will provide full administrative support to this individual and also limited support for their team. We are looking for a partner who can help us stay organized day to day (e.g. scheduling appointments, managing travel, calendars, etc) and help us be more effective by generating select Excel based reports and PowerPoint presentations.

What you will do:
- Provide full administrative support for the President of Cetera Solutions and general assistance to their team.
- Manage travel, itineraries and schedules as needed for Executive travel
- Set up and manage appointments with partners both inside and outside the firm.
- Manage calendars daily and be alert to fluid conflicts with limited details.
- Format, beautify, and otherwise improve PowerPoint presentations.
- Monitor and approve contractors’ hours (2-4 contractors).
- Monitor and submit expense reports on behalf of Senior Leaders
- Assist with Onboarding and Offboarding of employees within departments.
- Assist with team engagement efforts.
- Be willing to tackle other duties big & small as assigned.
What you will have:
- 5 years of senior executive support experience
- Advanced Microsoft Office skills with a strong focus on PowerPoint & Excel
- Strong communication skills – verbal and written
- Basic analytic abilities (e.g. sums, averages, charts, etc in Excel)
- Curiosity, attention to detail and an orientation towards continuous improvement
- Excellent organizational skills
- Sense of urgency and a willingness to seek clarity and details when needed
- Ability to handle confidential topics/conversations
- High level of discretion; comfort dealing with confidential info
- Ability to multitask, manage tight deadlines, and work autonomously
What is nice to have:
- Associate’s degree or certificate in Business Administration
Hybrid Work Schedule:
- This role will be based in our San Diego office with the expectation of working a minimum of 2 days in office and as needed for meetings and conferences.
Compensation Range:
The base annual salary range for this role is $75,000 to $100,000, plus a competitive performance-based bonus. Base annual salary depends on a wide array of factors, including but not limited to skill set, years and depth of experience, certifications, and location. Base annual salary may also differ significantly due to geography and cost of labor considerations.
