Job Summary: The Volunteer Program Assistant is responsible for assisting and supporting the volunteer
coordinator’s initiatives and efforts to grow the number of high-quality therapy dog volunteers and strengthen engagement and retention of our existing 140 certified volunteers who are delivering animal-assisted therapy interactions to over 200 locations throughout the tri-county area. The ideal candidate is organized, detail-oriented, and passionate about our mission to improve the health and well-being of people in need through the healing power of the human-animal bond.
Key Responsibilities
Handle incoming and outgoing correspondence and communications, including
emails, phone calls, and mail related to the volunteer program as needed.
Prepare and distribute communications, emails, letters and other documentation as
needed.
Assist with scheduling appointments, meetings, and events as needed.
Assist with basic bookkeeping tasks, such as payment processing and recording
memberships, purchases, donations, and contributions related to the volunteer
program.
Manage, maintain and process Volunteer Program paperwork and compliance
requirements including applications, health records, background screenings,
invoices etc.
Manage and maintain volunteer and Facilities’ databases. (facility requests,
volunteers by location…etc.)
Tracks volunteer hours and manages recognition program. Assist the volunteer
coordinator and Development department providing data as requested.
Manages Volunteer Program vendor relationships, supplies, inventory, store orders,
mailings and shipments.
Oversee evaluations preparation and set up.
Assist with volunteer recruitment, onboarding, trainings, orientations, mentoring, etc.
as needed.
Support the preparation and distribution of materials and resources for programming
such as welcome letters, info sheets, name badges, etc.
Assist in volunteer retention and engagement efforts through ongoing follow ups and
communications.
Facilitate adequate service delivery though communications with community
partners and facilities to help fulfill specific needs and requests.
Highlight the organization’s work and impact and volunteers/dogs, advocate for
volunteerism and volunteer recognition, promote orientations and support recruiting
efforts in social media.
Keep digital media files organized and up to date.
Attend and provide support to the organization’s events, visits, functions and
fundraisers as needed.
Other administrative and management duties as assigned.
Communication:
Serve as a point of contact for general inquiries from volunteers, the public and
stakeholders.
Develop, build and maintain positive, long-term relationships with volunteers.
Requirements
Must love working with dogs
Current automobile insurance and valid driver's license.
Willing and able to drive occasionally throughout Dade, Broward and Dade County.
Must be able to tolerate outdoors in high heat and humidity during special events.
Some weekend, evening, and holiday hours will be required as needed.
Minimum Acceptable Education, Knowledge & Experience
Associates degree with proven experience in working with volunteers.
Computer literacy, including Microsoft Office Suite, and ability to learn new software
platforms with ease. (current automated standard office technologies and
applications).
Experience working with social media platforms, preferably knowledge of programs
like Canva, Constant Contact and volunteer recruitment platforms.

Position type and expected Hours of work
This is a Part-time position, approximately 25 hours per week but has potential to grow into a Full Time Position in the near future. While not often, must be available evenings and/or weekends, and holidays as needed.
Travel
There will be occasional day travel within the tri-county area.
