Summary
The Office Coordinator serves as the welcoming face and voice of our nonprofit organization, ensuring every visitor and caller experiences exceptional hospitality. This role is vital in creating a positive first impression by greeting visitors, answering phones, and managing front-office operations with professionalism and efficiency. The Office Coordinator supports the organization’s mission by maintaining a warm and organized environment that fosters collaboration and connection.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greet all visitors with a warm and professional demeanor.
- Ensure visitors are directed appropriately.
- Maintain the appearance of the reception areas and common spaces.
- Answers and directs incoming phone calls promptly and courteously.
- Respond to general inquiries via phone and email or forward them to the appropriate staff person. This includes messages received through Canopy’s web contact form and email.
- Schedule meetings, maintain calendars, and assist with logistical arrangements for events.
- Coordinate mail and package distribution.
- Assists with data entry, filing and document management as needed.
- Coordinates scheduling of Canopy vehicles.
- Takes minutes for staff meeting and disburses them amongst the team.
- Provides general support to visitors.
- Processes invoices, bills, and reimbursements for payment
- Maintains the petty cash fund and reports updates to the finance team.
- Collaborates with team members to support special projects and initiatives.
- Other duties as assigned.
QUALIFICATIONS
Technical Qualifications:
- High school diploma or equivalent required: associate or bachelor’s degree preferred.
- Previous experience in office administration, customer service or related roles preferred.
Knowledge, Skills, and Abilities:
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, such as printers and computers
- Commitment to the mission and values of Canopy.
- Highly organized and detail-oriented
- Proficiency in MS Office and Google Enterprise preferred.
- Excellent time management skills and ability to prioritize work.
- Excellent written and spoken communication skills.
- Strong people skills.
- Language proficiency in Arabic, Dari, French, Kinyarwanda, Marshallese, Pashto, Spanish or Swahili strongly preferred.
PHYSICAL DEMANDS
- Work is performed both indoors and outdoors or ambient air temperature working conditions.
- Requires the ability to use computers and other office equipment.
- Incumbent may be in one place or move from place to place for extended periods.
- Specific vision abilities include close, distance, and color vision, depth perception, and ability to adjust focus.
- Speaking, hearing, and understanding English
- Bending, twisting, reaching, and lifting up to 40 lbs. may be normal components in completing job duties.
