Caprock Academy is seeking an Events Coordinator for the 2024-2025 school year. Caprock Academy is a public, tuition-free school chartered by the Colorado Charter School Institute and utilizes the timeless principles of classically oriented education.

Caprock Academy follows the Core Knowledge© curriculum in grades K–8. This curriculum encompasses language arts, mathematics, science, history, geography, fine arts, and physical education. The curriculum is characterized by content-rich instruction, cumulative knowledge, content-specific lessons, and coherent sequencing. The foundation of our academics are rooted in classical education philosophy and pedagogy, following the grammar, logic and rhetoric trivium. The school’s mission is to help all students achieve their highest academic and character potential using proven, accelerated academic programs while providing a safe environment. The Events Coordinator will report to the Communications & Marketing Director. As a person integral to Caprock Academy’s administrative support team, they will maintain the integrity of, advocate for, and facilitate the implementation of Caprock Academy’s Vision, Mission, and Core Values always.

FLSA CLASSIFICATION: Salary, non-exempt

EMPLOYMENT STATUS: Regular, full-time

WORK HOURS: 40 hours per week

PAY RANGE: Starting salary $38,000 depending on experience and education

REPORTS TO: Communications & Marketing Director

Essential Duties

  • Coordinate volunteer opportunities for parents, guardians, and staff.
  • Organize student community service projects.
  • Set up, manage, and monitor volunteer events in the Volunteer Management System.
  • Assist in coordinating school fundraising opportunities and approve fundraising requests in collaboration with the Dean of Students and the Head of School.
  • Work closely with the Caprock Academy School Accountability Committee, Caprock Academy Support Team, and Caprock Academy Booster Club, providing assistance with event planning and management, and fundraising opportunities.
  • Plan and organize staff cohesion events, including the back-to-school picnic, staff breakfasts, lunches, staff professional development training, or other meetings that we host on campus.
  • Coordinate the annual Back to School Night event in partnership with the Registration Department, Dean of Students, and Head of School.
  • Assist in planning the high school academic banquet with the High School Dean of Students and Athletics & Activities department.
  • Assist in organizing all athletic banquets in collaboration with the Athletics & Activities department and the Caprock Academy Booster Club.
  • Support the planning and execution of home sporting events, music concerts, theater productions, and student performances.
  • Assist in organizing History Day events in October and April in coordination with the Dean of Students.
  • Support administration in planning monthly Flag Raising events.
  • Oversee concession fundraising events for all home sporting events, maintain inventory, manage fundraising spreadsheets, and communicate expectations to fundraising groups.
  • Actively serve on the Graduation Committee and the Fundraising Committee.
  • Oversee and manage the Carpool and New Parent Ambassador programs.
  • Collaborate with the Communications & Marketing Director to effectively communicate event details to our school community.
  • Strengthen the school's brand by identifying opportunities for community engagement through local fairs and public events.
  • Establish and maintain partnerships with community organizations such as Hospice, Grand Junction Chamber of Commerce, Kiwanis, and Grand Valley Gives.
  • Perform other duties as assigned.
Requirements:

Experience

  • High school diploma required; Associate or bachelor’s degree in event management, communications, marketing, business, or a related field preferred.
  • Minimum of two years of experience in event planning, volunteer coordination, fundraising, customer service, or a related field.
  • Experience coordinating volunteers, managing fundraising initiatives, and maintaining accurate records for event planning, fundraising, and reporting.
  • Familiarity with nonprofit organizations, school event planning, and donor engagement strategies.
  • Knowledge of community engagement strategies to foster partnerships.

Technical Skills

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel), Google Workspace (Docs, Sheets), and Canva.
  • General computer proficiency with adaptability to new software and technologies.
  • Experience in social media, digital communications, content creation, flyer/poster design, and basic marketing strategies.
  • Strong attention to detail to ensure accuracy in event planning, budgeting, and logistics.
  • Budget management skills to track event expenses and fundraising revenue.
  • Knowledge of safety regulations and event compliance requirements.
  • Calendar management skills to coordinate, schedule, and track school events, meetings, and fundraising activities.

Interpersonal and Professional Skills

  • Strong communication, organizational, and problem-solving skills with the ability to manage multiple priorities.
  • Excellent time management skills with the ability to meet deadlines and coordinate multiple events simultaneously.
  • Ability to serve as a positive liaison between parents, students, staff, and the community while maintaining confidentiality.
  • Strong negotiation and vendor management skills to coordinate event logistics efficiently.
  • Self-starter with a strong work ethic, initiative, reliability, and accountability.
  • Ability to anticipate challenges and proactively address issues before they arise.
  • Demonstrates professionalism, flexibility, and adaptability in a fast-paced environment.
  • Strong leadership and relationship-building skills to engage with volunteers, staff, and community partners effectively.
  • Conflict resolution skills for handling unexpected issues with vendors, volunteers, or event attendees.
  • Crisis management skills to respond to emergencies or disruptions effectively.

  • Availability to work flexible hours, including evenings and weekends, as needed for events.

Physical Requirements

  • Ability to lift and carry up to 30 pounds safely.
  • Ability to stand for extended periods during events and assist with event setup.
