What are the responsibilities and job description for the Event Coordinator position at Gafner Hospitality Group?
Job Summary:
We are looking for an Event Coordinator to add to our team to help assist with weddings and other types of events at The Estes Park Resort & Spa! From weddings, to birthday parties, to corporate retreats, you will be assisting with a wide variety of events. As a resort, we are trying to expand our weddings program and help more couples find their dream venue! You are someone who loves love! You will deliver incredible customer service while accomplishing successful events to keep all guests delighted. You are someone who holds company policies and values to a high standard and applies them to every aspect of your job. You will be trained on all job duties and expectations by our Director of Events. Our Director of Events will work closely with you and offer continuous support whenever needed.
Daily Tasks:
- Entering leads into Event Temple and responding with the proper information
- Use Event Temple for all client information and event planning
- Communicate with potential clients via phone, email, or in person
- Answer any incoming phone calls
- Conduct thorough onsite tours of our property & venues
- Meet with clients to discuss & plan their event details via phone, video chat, email or in person
- Communicate continuously with clients throughout entire planning process to ensure thorough planning and customer satisfaction
- Be onsite as the Day of Coordinator for events, ensuring a successful event for all involved
- Manage a team of banquet staff throughout the event, providing direction and proper coaching
- Be hands on! Help set up, work banquet positions, and break down if necessary
- Work closely with Director of Events to provide the best experience for every client
- Attend occasional offsite wedding shows to market our venues and bring in leads
- Maintain clean and beautiful venues: sweeping floors in between events, staging spaces for tours, keeping furniture tight & secure, etc.
- Maintain & organize storage spaces regularly
Position Requirements:
- Strong communication skills with clients, banquet staff, management, and resort team
- The ability to work long shifts (12 plus hours)
- Heavy lifting, carrying, reaching and stretching
- Prior experience in restaurants and catering, prior event coordinating experience is a plus!
- Proficient in using Event Temple & Toast,
- Required to work weekends, nights, early mornings, and holidays as needed for events

Job Type: Full-time
Pay: $55,000.00 - $80,000.00 per year
