Position Overview
CTG is seeking an Assistant Program Administrator who is passionate about building strong systems and laying the groundwork for an emerging organization. Key Responsibilities
- Assist in designing and implementing systems and workflows for training programs, including creating standard operating procedures, organizing program materials, and maintaining documentation.
- Support strategic planning efforts, including designing and refining program models and product offerings.
- Conduct market research and data analysis to support program design and development; compile reports and recommendations for leadership.
- Maintain program records, track participant progress, and ensure compliance with relevant policies and standards.
- Manage program timelines, coordinate deliverables, and follow up on outstanding tasks to keep initiatives on track.
- Serve as a liaison between internal teams, external partners, and program participants; draft and distribute program-related communications such as newsletters, updates, and reports.
- Assist in planning and coordinating virtual and in-person training sessions, including setting up registration, preparing materials, scheduling speakers, and managing logistics.
- Support the promotion of CTG programs by creating content for emails, social media, and program brochures; engage with stakeholders to expand program visibility.
- Identify operational challenges and propose solutions to improve efficiency and program effectiveness.
Qualifications & Experience
- Bachelor’s degree in business administration, education, nonprofit management, or a related field (or equivalent experience).
- At least 3 years of experience in program administration, operations management, strategic planning, or a similar role.
- Strong proficiency in planning, organizing, and communication (both written and verbal).
- Excellent critical thinking, problem-solving, and decision-making skills to navigate complex challenges.
- Highly proficient in time management and project execution, able to balance multiple responsibilities effectively.
- Ability to work independently as a self-starter while also collaborating in a team environment. Demonstrated success in remote environment.
- A creative mindset with the ability to design and refine systems, programs, and products.
- Previous experience in or open to learning about the early childhood education industry.
- Experience using project management tools, CRM systems, or similar digital platforms is a plus.
