Position Summary
Under the direct supervision of the sales manager this position provides administrative and secretarial support for Sales and Marketing. In addition to typing, filing, scheduling, performs duties such as creating gift baskets, maintaining inventory and mail.
Essential Duties and Responsibilities:
- Organizes and manages fact sheets
- Prepare and design quarterly calendars
- Order, prepare and design gift baskets when requested
- Prepare, organize and process all new product launch kits from Marketing and Convenience for new product introductions.
- Prepares Federal Express, UPS, plus other express carrier packages and mail for shipment.
- Prepare and process all show paperwork and prep work
- Order, food, beverages and prepare supplies for various meetings
- Order and office supplies as needed
- Participate and assist in special projects
- Stocks paper and supplies in common areas daily.
- Inventories and organizes our various premiums and supplies needed
includes a variety of items, re-order and ship if necessary - Checks off out going orders on the computer.
- Enters data and maintains administrative logs for faxes, deliveries, shipments, etc.
- Run, sort and distribute bill of ladings
- Schedules and organizes complex activities such as meetings, travel, conferences, and department activities for all member of the department.
- Drafts written responses or replies by phone or e-mail when necessary
- Works independently and within a team on special nonrecurring and ongoing projects.
- Responsible for accuracy and clarity of final copy.
- Activities include copying check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance.
- Maintain customer orders system.
- Take responsibility in your work area to produce a safe and quality food product. Report all food safety related problems to your supervisor, manager, or to the QA department to initiate immediate action.
- Other duties as assigned
Specific Knowledge, Skills, Licenses, Certifications, etc.:
- Required education is a high school diploma or a GED; must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment; and at a level generally acquired through one or more years related experience an Associates Degree is preferred.
- Work requires an extensive knowledge of business and excellent command of the English language.
- Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.
- Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, and tact/diplomacy.
- Some analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
- Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
Physical Demands
- Regularly involves sitting or standing, occasional walking, reaching, lifting up to 25 pounds and visual adjustments.
Work Environment
- Includes office and manufacturing environments, requiring personal protective equipment in certain areas and exposure to loud noise.
