What are the responsibilities and job description for the Office Manager position at CASA-CAN?
Responsibilities:
- Oversee and manage the daily operations of the office
- Represent CASA-CAN in a professional, positive manner as first point of contact for potential volunteers and the general public
- Working under the direction of the Executive Director to ensure the needs of the office and volunteers are met in a timely fashion.
- Maintain strict confidentiality regarding CASA cases, volunteers and donors.
- Assist with routine clerical tasks: Handle routine correspondence, print labels, fax documents and answer phones
- Ordering background checks for potential volunteer CASA/GAL applicants.
- Ensuring that all required documentation is up to date for each active volunteer on an annual basis.
- Notifying volunteer CASA/GAL of court dates, legal paperwork received, and any and other pertinent information related to their case.
- Notifying volunteer CASA/GAL of Family Group Decision making meetings, Foster Care Review Committee meetings, and communications from families of the children that the GAL serves.
- File information for volunteer files and case files.
- Ensuring that court documents and court reports generated by CASA-CAN are processed and filed with appropriate entities.
- Ordering office supplies as needed from approved vendors.
- Paying, filing, and submitting billing.
- Record, process, and file donations.
- Other duties as assigned.
Minimum Qualifications:
- Must be a minimum of 21 years of age
- Complete background checks including national and local criminal, sexual abuse and child abuse registries.
- Possess a High School diploma (or equivalent)
- Have a minimum of 2 years of job-related experience
- Ability to maintain confidentiality
- Computer literate and proficient in Microsoft Office software.
- Excellent people and telephone skills with the ability to work with diverse community members in a professional, positive, and objective manner
- Strong multi-tasking abilities, detail oriented and ability to prioritize
- Excellent organizational skills: ability to organize and maintain office files and computer data bases
- Familiarity with operation office machines – computers, copiers, faxes, printers, etc.
- Adaptability and work schedule flexibility as part of a small staff team
- Ability to take initiative in completing assigned projects with minimal supervision
- Ability to multi-task
Preferred Qualifications
- 2-5 years’ experience clerical/business related field (or equivalent experience)
- Experience working with volunteers
- Experience in office organization
- Strong written and oral communication skills
- Computer skills
As an Office Manager, you will play a crucial role in ensuring the smooth operation of our office. Responsible for maintaining organization and the integrity of the front office. Provide customer service to volunteers and administrative support to the Executive Director and Program staff.
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
Expected hours: No more than 20 per week
