Job Summary: Responsible for the day-to-day operations for all accounting processes related to student financial aid and State Scholarships. Works closely with the financial aid committee to have up-to-date information to share with parents. Individual also serves as the accounts payable clerk, organizing, scanning and entering invoices for accounts payable processing. Essential Job Duties: State Scholarship, Financial Aid & Scholarship responsibilities: • Responsible for being the primary point of contact and knowledge base for all State Scholarships and detailed questions from families related to the financial aid application (currently FACTS) o Prepare annual communication to parents for State Scholarship and FACTS applications o With marketing and communications, ensure the SHES website is maintained with accurate information related to State Scholarship and FACTS application process. o Working closely with Principal, Director of Support Services and CFO, ensure annual State Scholarship provider applications are completed and School is listed as eligible provider of services. o Prepare and upload attendance for State Scholarships. Reconcile State Scholarship checks to upload once received, and prepare lockbox deposit. o Work with Student Support Services for administration of Jon Peterson and Autism Scholarships. This requires staying up to date on ETR and IEP status for students, and coordinating the submission of any required notes from student o Export and reconcile application data for FACTS. As new applications are received, print and provide initial review of application o Assist parents with completion of FACTS applications. This can be done via phone calls, emails and hosting parents to assist in completion of application and uploading the appropriate documents. o Assist with strategizing, developing and disseminating financial aid polices as a member of the financial aid committee. o Maintain outside relationship and reporting functions for external scholarships (Diocesan Tuition Assistance; Diocese Scholarships, Sullivan Scholarships and other external scholarships). o Maintain student listing for free and reduced lunch program.
Accounts payable responsibilities: • Enter all accounts payable invoices and scan invoices to Financial Edge AP system
General business office responsibilities: • Provide professional, courteous and accurate customer service support to parents, vendors, school staff and administrators. • Maintain listing of employee tuition remission for grade school children in Catholic Elementary Schools and daughters attending Catholic High School • Assist Principal in various School Survey requests, including Diocese survey for State Scholarship, demographics and free/reduced lunch information • Special projects related to other business office duties as assigned • Maintain an active State of Ohio Notary certification Marginal
Job Duties: • Coordinates and perform mailings as needed. • Ensure postage machine supplies are up to date Job Requirements: • High School degree required, Associate Degree or Bachelor Degree in related discipline preferred. • 2 years experience working in accounting and /or business office. • Must have accurate data entry skills and be able to run required reports. • Professional and courteous demeanor at all times. • Ability to provide exceptional follow-up while remaining polite and calm. • Understands and respects the importance of confidentiality. Protects the privacy of student data abiding by the Family Educational Rights and Privacy Act (FERPA) regulations.
