Purchasing and Assets Coordinator
Campus: Central Office
Reports to: Accounting Lead
Summary of Role
Coordinate all aspects of purchasing and asset management for Celebration Church. Oversee and manage respective platforms to ensure purchasing and asset procedures are followed in accordance with church policies.
Position Status & Schedule
- Non-Exempt, Hourly
- Full-time (40 hours)
- Monday through Friday – 9 am to 5 pm
- Christmas, Easter, and Dream Team Appreciation service dates and times are black out days for time off. Other events may be required outside of your regular schedule; you will be informed in advance of any requirements.
Essential Functions & Responsibilities
Purchasing
- Manage Celebration Church purchasing credit card receipts and enter in appropriate software
- Work with vendor representatives to gather pricing data, compare vendor offers and maintain preferred vendor list
- Oversee and manage the church purchasing platform – ensure that approval structures are clean and accurate in alignment with budget structure
- Expand and develop purchasing software to align with church growth and improving processes
- Prepare and Provide training and support to staff members relating to purchases and purchasing software
- Provide high level oversight for church travel processes & procedures
- Oversee and manage the expense management platform and review/approve select team member expense reports as needed
- Research and resolve a variety of routine inquiries concerning account status and payments with vendors and Celebration team members
Asset Management
- Coordinate with teams on all trackable assets and confirm they are entered in asset management platform.
- Conduct periodic asset audits to ensure Church assets are secured and in working condition
- Develop and improve upon asset management SOPs
- Prepare and analyze asset reports to review with Finance and departments for budget planning
Administrative
- Assist accounting team with weekly count process
- Assist with expanding the Finance Dream Teams
- Serve as primary backup for Accounts Payable Coordinator
- Develop and improve upon purchasing SOPs
- Prepare and provide information and reports in a timely manner
- Deliver and pick up mail from mail receptacle
- Assist Accounting Lead with other duties as assigned

Education & Experience
- Minimum 3 years of applicable work experience
- Business or related degree preferred
- Experience with purchasing applications and asset management systems a plus
Work Environment & Physical Demands
- Must be able to remain in a stationary position 75% of the time
- Must be able to occasionally move about inside the office and Church facility
- Must be able to position self to maintain supplies and equipment on lower shelves and in closets
- Frequently move supplies and equipment weighing up to 20 pounds
- Constantly work in open office environment
- Ability to work outside in various climates and temperatures
