What are the responsibilities and job description for the Receptionist (Centennial Hills) position at Centennial Hills Campus?
Job Responsibilities:
• Maintains and respects the confidentiality of students and school personnel information.
• Understands, accepts, and abides by the School’s philosophy and mission statement
• Answers phone calls in a pleasant, informed manner for the purpose of providing information and creating a good image of the school
• Greets all incoming students, families, and guests respectfully and professionally
• Assists in all aspects of maintaining a professional front office, including but not limited to, fielding and directing incoming phone calls to the appropriate staff member in a timely, professional manner, filing, copying, and faxing of sensitive information.
• Develops a positive, welcoming, and caring climate in the Front Office.
• Consistently exhibits high standards of professional conduct.
• Arrives punctually, be prepared for each school day, and maintains regular attendance.
• Provides for children’s personal needs such as attending to those who are sick or hurt; administering medications as prescribed by a physician in accordance with training and authorization
• Requires clerical skills and knowledge of office practices and procedures that involve the operation of standard office equipment such as a personal computer, copier, fax, and associated equipment that can be learned on the job within several months.
• Assists students and others with routine problems and will refer non-routine items to the Site Director.
• Works with courtesy, tact, and diplomacy in dealing with others, and the ability to work cooperatively as part of a team.
• Coordinates pickup, delivery, and distribution of mail and packages.
• Receives, counts, opens, unpacks, dates, stamps, records, sorts, and distributes incoming mail, documents, books, materials, and supplies following established procedures.
• Sorts and stamps out-going correspondence, addresses envelopes and packages, and prepares printed matter and other material for mailing.
• Distributes any student/staff items left at the front desk.
• Receives and refers visitors, takes telephone calls and messages, and provides routine information upon request. (Per State Law- we are not allowed to take messages for teachers or students. The parent must email the teacher).
• Maintains regular attendance of Students. Make sure teachers are taking attendance 2 times a day. Make any attendance adjustments (for example excused absents/tardiness, etc.)
• Contact parents/guardians of any students that are absent without a note/email. (daily)
• Inform registrar and Site Director/Dean of Students if they are any irregularities in students attendance
• Informs Registrar and Site Director/Dean of Students when a student has excessive absences.
• Provide Weekly attendance reports to teachers. Monitor that reports are signed and returned to you at the end of the year.
• Assists the Registrar with enrollment and withdrawal of students, distribution report cards, etc.
• Receive and Receipt incoming payments (Kindergarten monthly fees, Semester fees, Clubs, etc.)
• Set up Teachers Afterschool Clubs (biannually- Fall/Spring). Provided teachers with a sheet to fill out regarding what club they would like to do. Retype and make a packet of all clubs to be sent out to all students. Update the website and make it active at the given time. Collect payments for clubs and provided teachers/office staff with the list of students in each club. If applicable to campus.
• Create a monthly Newsletter due by the first week of the month. Turn into Site Director for approval. Once approved send as PDF to Registrar to be e-blasted out. Quarterly newsletter to be submitted for three-campus newsletters.
• Receive, Maintain, and sort all incoming paperwork. (Intent to return forms, uniform forms, etc.)
• Assist in the distribution of all progress reports, report cards, testing results, etc.
• Schedule meetings, appointments and/or conferences for Site Director and/or Administrative staff.
• Plan and set up rooms for various meetings, training, board meetings, and/or Professional Development Days
• Assist in planning/scheduling/ preparing for special visitors to the campus
• Assist in recording and transcribing meeting notes for the campus faculty meetings.
• Attend all meetings, Professional Development Days, Training, and/or Special Events as assigned.
• Effectively perform all other duties as assigned/asked by Administration, Site Director, Head Registrar, or Registrar.
• All other duties as assigned by the Principal, Head Registrar, or Administrative Staff.
Salary : $31,629 - $36,666
