Responsibilities
As an Administrative Support Specialist at CIFI, your responsibilities include:
- Greet and assist clients with a professional and friendly smile.
- Coordinating phone calls, emails, messages, and correspondence, directing them to the appropriate therapists.
- Maintain a friendly and respectful tone in all phone interactions.
- Speaking with parents of teens and children about appointments and payments.
- Coordinating Psychological testing.
- Creating profiles for new clients.
- Schedule and coordinate appointments for our team of therapists.
- Assisting the therapist with their requests for their caseloads.
- Keep accurate records of clients in the system.
- Uphold strict confidentiality standards for all client and therapist information.
- Maintain organized filing systems for client records and office documents.
- Support therapists with various administrative duties as needed.
- Handle data entry and maintain a database with accuracy and confidentiality.
- Assist with credentialing of therapists, as needed.
- Assist with client support inquiries.
- Utilize Google Suite and other software applications to create and edit documents, spreadsheets, and presentations.
- Assist with employee record keeping.
- Ensure the office environment is clean, organized and welcoming.
- Other duties as needed.
Qualifications & Characteristics
To be considered for a position, candidates should possess the following qualifications and characteristics:
- High school diploma or equivalent.
- Additional qualifications as an administrative assistant or secretary are a plus.
- Proven experience as an Administrative Support Specialist or in a related role.
- Experience in the Mental Health field preferred.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent written and verbal communication skills.
- High level of professionalism and confidentiality.
- Strong organizational and time management skills.
- Detailed oriented with a high level of accuracy in work.
- Excellent interpersonal, organizational, planning and project management skills
- Familiarity with Google Suite (Docs, Sheets) is a plus.
- Ability to work independently as well as part of a team.
- Reliable and punctual with a strong work ethic.
Benefits
- In addition to 9 paid federal holidays: 40 hours of paid time off the first year (After two months of service), 80 hours the 2nd and 3rd year, 120 hours the fourth year and beyond.
Job Type: Full-time
Pay: $37,440.00 - $44,720.00 per year
