Payroll Coordinator/Administrator Job Description
About the Role:
Our Payroll Coordinator/Administrator is responsible for processing and reconciling payroll timely and accurately on a weekly basis. The Payroll Coordinator/Administrator performs quality work while upholding strict standards regarding confidentiality of employee and Company information. The Payroll Coordinator/Administrator works closely with the Payroll Manager in all areas of the payroll process and projects. In summary, our Payroll Coordinator/Administrator plays a key role in the success of our employees, our Company and is a valuable resource.
Our Payroll Coordinator/Administrator requires high level of energy, great interpersonal skills, strong personal initiative to complete tasks timely, completely and confidentially. This person must be well organized, flexible, and develop a deep understanding of our HR/Payroll systems.
What You’ll Be Doing:
- Responsible for coordinating and administrating the payroll process utilizing the payroll task list for all USA facilities. This includes answering supervisor and employee questions regarding payroll.
- Responsible for maintaining the HR/Payroll systems with all employee and temporary employee information including new hires, terminations, benefits, and any other updates. Ensuring accuracy by utilizing reviews and audits.
- Responsible for maintaining access to the time and attendance system to ensure: (i) employees can clock in and out, (ii)supervisors can review and approve the time worked by their employees and review their PTO balances and (iii) ensuring accuracy and compliance using the exception process.
- Responsible for utilizing the unused deduction report to track unpaid benefits and update HR monthly including processing repayments according to the documented process.
- Responsible for timely and accurate weekly payroll reporting utilizing the weekly payroll report checklist. This checklist includes the Payroll and Overtime Variance Reports. Both reports require updates using approved budget and/or forecast files. The Payroll Administrator/Coordinator is responsible for updating the formulas as necessary for current week/month/year.
- Responsible for the ADP Adjustments and the Temporary Labor Accrual journal entries.
- Responsible for the Benefit Allocation Calculation which is derived from the medical and dental invoices by person and department.
- Responsible for supporting the maintenance of payroll records, wage/tax records and quarterly reports.
- Verify payments to be made to temporary agencies to include, but not limited to, the maintenance of the weekly Temporary Hours with Dollars Report and preparing/reconciling monthly temporary accruals posted to the general ledger.
- Responsible for preparing full time equivalent (“FTE”) calculations for temporary headcount reporting.
- Responsible for: (i) processing and reconciling PTO and purchased PTO (ii) ensuring PTO requests are processed correctly and reconciled with the employee’s balance and (iii) sending periodic reports to supervisors with all PTO balances.
- Ability to write or learn to write ad-hoc reports from the HR/Payroll Software.
- Assist the Payroll Manager or Finance Department with any special projects that may develop.
- Assist the Payroll Manager with monthly, quarterly, and year end closing as needed. This may include but is not limited to the year end audit, the 401K audit, reconciliations, research with discrepancies, and coordination of documents.
- The duties and responsibilities are subject to change as business needs dictate.
