A full service New York based law firm is seeking a Human Resources Assistant for their New York office. Responsibilities include:
• Revise and update internal distribution lists for onboarding and offboarding • Review insurance invoices and process for payment
• Review weekly insurance EDI files
• Draft communications i.e., COBRA letters
• Review various vendor invoices and process for payment
• Enter various data in HRIS system
• Maintain all employee electronic personnel records
• Internal and external event support logistics checking dates for availability, booking conference
rooms, catering, etc.
• Scan and file original signed documents into the document management system including
correspondence, etc.
• Generate offer letters for both legal and professional staff
• Schedule and coordinate interview schedule for professional staff
• Prepare professional staff recruiting placement agreements, track recruiting agreements
process recruiting placement invoices
• Work in collaboration professional staff, demonstrating strong teamwork and a positive attitude • Perform additional related responsibilities as assigned
Qualifications:
• 1-2 years office experience
• Experience in Human Resources a plus
• Experience working with HRIS system a plus
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
• Familiarity with benefits and employee plans for mid-size organizations • Strong organizational skills and attention to detail
• Excellent verbal and written communication skills
• Proven ability to handle sensitive information with discretion
• Strong interpersonal skills and a commitment to customer service
• Must be punctual and reliable
• Ability to act with integrity, professionalism, and confidentiality
• Ensure confidentiality of all Firm documentation and information
• Able to work effectively in a fast-paced, deadline driven environment
• Ability to type at least 65 WPM
• Ability to manage multiple projects, prioritize tasks and manage time
• Ability to work independently
• Ability to work overtime when necessary
