Job Summary
We are seeking a proactive and detail-oriented individual to join our team as a Floating Legal Assistant/Paralegal. The ideal candidate will enjoy providing administrative support to multiple practice areas and cover for vacancies to ensure the smooth operation of the firm.
Key Responsibilities:
· Provide administrative support to attorneys and paralegals, including scheduling appointments, managing calendars, and making travel arrangements.
· Prepare legal documents, correspondence, and presentations with accuracy and attention to detail.
· Assist with file management, including organizing and maintaining physical and electronic files.
· Conduct legal research and compile relevant information as needed.
· Assist with billing and invoicing processes.
· Communicate with clients, opposing counsel, and other parties in a professional and courteous manner.
· Perform general office duties, such as answering phones, responding to emails, and greeting visitors.
· Support internal committee meetings, taking notes and managing agendas.
· Assist in drafting legal documents such as pleadings, motions, discovery requests, and responses under the supervision of attorneys.
· Assist in the preparation for trials, hearings, and closings by organizing and summarizing case materials.
· Review and analyze legal documents and contracts.
· Coordinate with court personnel, clients, and other parties to schedule hearings, depositions, and meetings.
· Assist attorneys and paralegals in legal research using online databases and other resources.
· Adhere to confidentiality and data protection policies at all times.
· Listen to dictations and prepare documents with tracked changes/edits.
· Other duties as assigned.
Qualifications
· Paralegal certificate or equivalent qualification preferred.
· 3-5 years of previous experience in a legal or administrative role is highly desirable.
· Knowledge of law practices, legal records, document development processes, and legal procedures.
· Proficiency in Microsoft Office Suite and legal software applications.
· Excellent organizational and time management skills.
· Strong attention to detail and accuracy.
· Excellent communication skills, both written and verbal.
· Ability to work independently and prioritize tasks effectively.
· Proven ability to thrive in a fast paced environment and consistently meet tight deadlines with precision and efficiency.
· Professional demeanor and positive attitude.
· Extensive knowledge of legal terminology and procedures is preferred.
· Bilingual candidates (English/Spanish) are desirable.
Job Type: Full-time
Pay: $21.00 - $24.00 per hour
