SHOP ADMINISTRATION ASSISTANT
We are seeking a highly organized and detail-oriented Administrative Assistant to support our welding shop operations. The successful candidate will play a key role in ensuring the efficient and smooth daily activities of the shop by providing administrative support to management and staff. This position requires strong communication skills, a proactive mindset, and the ability to handle multiple tasks simultaneously.
Key Responsibilities:
- Administrative Support:
- Assist management with daily administrative tasks, including scheduling meetings, maintaining calendars, and preparing reports.
- Manage correspondence (emails, phone calls, and mail) and direct inquiries to appropriate personnel.
- Maintain organized filing systems, both electronic and physical.
- Customer Service:
- Serve as the first point of contact for clients and vendors, providing excellent customer service and addressing inquiries promptly.
- Assist in processing quotes, orders, and invoices, ensuring accuracy and timely follow-up.
- Inventory Management:
- Support inventory management by tracking supplies, placing orders, and maintaining inventory records to ensure the shop is well-stocked.
- Coordinate with suppliers and maintain relationships to secure necessary materials.
- Data Entry and Reporting:
- Input and maintain data in databases and spreadsheets related to projects, employee hours, and inventory levels.
- Prepare regular reports on shop performance metrics, inventory status, and other relevant information as requested by management.
- Human Resources Support:
- Assist in onboarding new employees, including preparing documentation and coordinating training schedules.
- Maintain employee records and assist with payroll processing as needed.
- Health and Safety Compliance:
- Help ensure compliance with safety protocols and regulations within the welding shop.
- Assist in maintaining safety documentation and protocols.
- Miscellaneous Tasks:
- Perform other administrative duties as assigned to support the team and improve shop operations.
- Assist in organizing company events, meetings, and training sessions.
Qualifications:
- High school diploma or equivalent; associate degree or higher preferred.
- Proven experience in an administrative role, preferably in a manufacturing or technical environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (e.g., printers, copiers).
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent verbal and written communication skills.
- Attention to detail and accuracy in data entry and documentation.
- Ability to work independently and collaboratively in a fast-paced environment.
- Basic understanding of welding processes or manufacturing operations is a plus.
Physical Requirements:
- Ability to sit for long periods and use a computer.
- Occasional lifting of office supplies or materials (up to 20 lbs).
Job Type: Full-time
Pay: $19.00 - $25.00 per hour
