What are the responsibilities and job description for the University Registrar position at Chapman University?

Reporting to the Associate Vice President of Enrollment Management, the Registrar of Chapman University will serve approximately 10,000 undergraduate and graduate students enrolled at the Orange and Rinker campuses. The Registrar will be responsible for a cohesive, well-managed student, staff, and faculty experience (e.g., registration, degree auditing, class scheduling, grading, etc.). The Registrar will supervise and direct the operations, functions, staff, and technology-related services in the Registrar’s Office.
Responsibilities
  • Leading the team of the Registrar’s Office, providing training and establishing performance standards to ensure an optimal registration process for students
  • Ensuring that direct reports manage student information (e.g., registration data, transcripts, enrollment verification, etc.) with accuracy, integrity, confidentiality, and in accordance with federal and state regulations
  • Providing leadership in the adoption, implementation and upgrading of systems and business processes, including leveraging the full suite of existing technologies, software, and platforms to optimize office system performance and consistently enhance student registration, academic progress, and academic records
  • Ensuring that direct reports manage course enrollments and classroom allocations to guarantee the efficient deployment of university resources (e.g., class meeting patterns, room scheduling) in collaboration with the Office of the Vice Provost of Finance and Operations and other relevant offices
  • Providing leadership in the creation, implementation, and enforcement of academic policies and procedures
  • Ensuring that direct reports publish and maintain the course catalog, including course prerequisites, special restrictions, course descriptions, and degree requirements
  • Working with campus offices to streamline systems and processes where needed by fully utilizing available technology and resources
  • Serving on University committees, task forces, and other groups as needed
  • Monitoring information on the Registrar’s website for accuracy and communicating to various stakeholders academic policies and procedures as they relate to registration, academic calendars, finals schedule, grading policies, and University transcripts
  • Working collaboratively with a variety of academic and student service offices to support the academic mission of the university and promote student success
  • Overseeing, managing, and certifying all student record documents related to degree completion and Commencement exercises
  • Ensuring that accurate enrollment information is reported to the National Student Loan Data System (Department of Education) and National Student Clearinghouse.
  • Ensuring direct reports are knowledgeable of transfer credit policies and course articulation processes.
  • Support Undergraduate and Graduate Academic Councils as ex-officio member for review of student petitions and academic policies.
  • Working on projects as assigned by supervisor
Required Qualifications
  • Bachelor required; Master’s degree strongly preferred
  • Experience working in a Registrar’s Office
  • Demonstrated data and analytical skills
  • Exceptional organizational and problem-solving skills
  • Minimum of 5-year experience in higher education administration
  • Knowledge of student record management and ‘best practices’ in registration
  • Knowledge of best practices for accepting courses in transfer from both domestic and international institutions of higher education
  • Trajectory of successive authority and supervisory roles
  • Excellent customer service mindset with proven commitment to always improve the operations of the Registrar’s Office
  • Proficiency in information systems, including PeopleSoft Campus Solutions, Perceptive Content (document imaging), Canvas, Acalog and Curriculog, AACRAO Edge, Transferology, and Microsoft applications
  • Excellent written and verbal communication skills

Salary : $106,000 - $124,800
