- Serve as the primary administrative liaison between executives and both internal and external stakeholders.
- Offer comprehensive office assistance, handling various clerical tasks and supporting functions.
- Greet visitors, anticipate their needs, and enhance their visit experience as appropriate.
- Exercise utmost discretion in managing sensitive issues requiring confidentiality.
- Create professional documents including presentations, agendas, reports, and projects.
- Draft and edit board meeting materials via MS Office suite.
- Coordinate travel arrangements and compile expense reports.
- Take the lead in producing reports and special projects, demonstrating initiative and autonomy.
- Manage incoming calls, ensuring accurate message delivery.
- Maintain complex calendars, resolving scheduling conflicts efficiently.
- Streamline executive workflow by proactively gathering and analyzing information.
- Uphold office efficiency through upkeep of common areas, filing systems, and supplies.
- Coordinate off-site events, dinners, and conferences as necessary.
- Fulfill additional responsibilities as assigned.
- Preferred: Bachelor's degree; Relevant experience considered.
- Preferred: 10 years of demonstrated administrative or assistant experience.
- Proficient in Microsoft Office suite.
- Thorough understanding of office management systems and protocols.
- Skilled in confident and professional interaction with individuals at all organizational levels.
- Exceptional customer service abilities, coupled with a proactive problem-solving attitude.
- Possesses a strong business acumen, capable of prioritizing tasks and exercising sound judgment.
- Demonstrates excellent time management skills and a track record of meeting deadlines.
- Ensure that safety and health concerns are given primary consideration in all activities
- Follows company guidelines and actively participates in all safety processes
- Carry out job/area specific housekeeping duties and maintain a high standard of professionalism
- Look for, report, and correct any near misses/unsafe conditions or behaviors as soon as possible
- Identify needed changes and make recommendations - find a better way
