What are the responsibilities and job description for the Administrative Assistant/Receptionist position at Chatham Village Homes?
The Office Administrator is responsible for daily operations in the front office. Responsibilities include but are not limited to; processing Member requests, taking payments, processing invoices, organizing communications and being the first point of contact to anyone contacting the CVH office. The Office Administrator reports directly to the Manager.
Position responsibilities:
· Develop and maintain customer relations with both internal and external customers to ensure customers’ needs and expectations are met
· Manage office functions, including (but not only) incoming and outgoing mail, monitoring and ordering office supplies, managing the website and phone systems, email inquiries.
· Maintain financial processes, such as A/P and A/R for vendors and members, ACH/direct debit transactions, credit checks, invoicing and receipt of payments for invoices.
· Develop, maintain, file and distribute (when needed) CVH communications, correspondence and documents.
· Manage and document members information and records, such as contact/home information, vehicles, installed equipment, extended travel, etc.
· Maintain ongoing communications with members through email, member information on the website, monthly newsletter, etc.
· Support CVH meetings with coordination of meeting logistics.
· Maintain a safe and clean office environment.
· Be a positive first impression for existing and potential new members.
· Other duties as assigned.
Requirements & Qualifications:
· Motivated self-starter
· Knowledge of office management/administrative responsibilities, systems and procedures
· Excellent time management skills and ability to multi-task and prioritize work
· Strong attention to detail and problem-solving skills
· Excellent written and verbal communication skills
· Strong organizational and planning skills
· Proficient in Microsoft Office/QuickBooks/Adobe products
· Knowledge of clerical practices and procedures
· High school diploma or GED required
· 2 years of office/administrative experience preferred but not required
Job Types: Full-time, Part-time
Pay: $15.00 - $18.00 per hour
