Job Title: Human Resources Generalist
Job Focus: The HR professional in this role will support the recruitment, onboarding, compliance, and employee relations processes for the organization, ensuring adherence to federal and state regulations. Key responsibilities include assisting with recruitment, maintaining personnel files, assisting with employee benefits, and tracking certifications and compliance requirements. This position also involves providing ongoing HR support, maintaining confidentiality, and ensuring that all necessary documentation is completed accurately and in a timely manner.
Responsibilities:
Recruitment & Hiring:
- Assist with posting open positions, scheduling, and conducting interviews.
- Follow established hiring processes, ensuring completion of all paperwork by new hires.
- Maintain recruitment and selection records, sending regret letters to non-hired candidates.
- Conduct background checks and schedule required screenings (fingerprinting, physicals, TB testing) for new hires.
- Ensure background checks are completed prior to the hire date.
Onboarding & Orientation:
- Prepare orientation packets and conduct new employee and volunteer orientations.
- Assist with new hire presentations and orientations.
- Assist with managing employee insurance benefits/eligibility and maintain up-to-date records.
- Assist with updating staff rosters, calendars, and organization charts on shared drives.
- Compliance & Certification Tracking:
- Maintain personnel files in compliance with federal and state regulations.
- Track certifications (First Aid, CPR, CDL, CDA, Food Handler cards, DEL background checks).
- Ensure compliance with Head Start, ECEAP, and WAC Performance Standards.
Employee Leave & Workers' Compensation:
- Assist with administering Family and Medical Leave Act (FMLA) and Paid Family and Medical Leave (PFML) paperwork, ensuring proper tracking and compliance.
- Assist with managing workers' compensation claims, ensuring all necessary paperwork is completed, documented, and tracked.
Documentation & Meetings:
- Take notes and assist in investigations, disciplinary meetings, or other HR-related meetings, ensuring accurate documentation.
- Maintain confidentiality and professionalism during investigations and meetings, adhering to all relevant policies and procedures.
Professional Development & HR Support:
- Coordinate pre-service training, staff meetings, and contribute to professional development plans.
- Participate in annual self-assessment processes.
- Stay current on employment law and HR best practices through continuous development and training.
Confidentiality & Professionalism:
- Maintain strict confidentiality in handling sensitive staff, child, and family information.
- Uphold professionalism in all interactions with management, staff, parents, children, and community partners.
Qualifications:
Experience & Knowledge:
- Minimum of 3 years of HR experience.
- An Associate Degree is required.
- Familiarity with FMLA and PFML tracking, administration, and compliance is preferred.
- Experience in managing workers’ compensation claims, including tracking and documentation is preferred.
- Proficiency in business writing (grammar, spelling, punctuation).
- Strong knowledge of computer software applications.
- Knowledge of Washington State and Federal Employment Laws.
Skills & Abilities:
- Ability to engage with individuals from diverse cultural, educational, and socio-economic backgrounds.
- Ability to maintain strict confidentiality and professionalism, particularly in sensitive situations such as investigations and HR-related meetings.
- Ability to lift up to 50 lbs.
- Strong Organizational Skills: Ability to manage multiple projects simultaneously and prioritize tasks in a fast-paced environment.
- Communication Skills: Excellent written and verbal communication skills, including the ability to communicate complex HR policies to staff in an understandable and supportive manner.
- Attention to Detail: A high level of attention to detail, particularly in maintaining accurate employee records and ensuring compliance.
- Conflict Resolution: Strong interpersonal skills with the ability to manage sensitive employee relations issues in a professional and discreet manner.
Additional Requirements:
- Bilingual in English and Spanish preferred.
- Valid WA State Driver’s License, automobile liability insurance, and reliable transportation required.
- Fulfillment of all health and safety requirements.
- Clean background check (free of child abuse and neglect convictions).
- Pre-employment background screening and drug test required.
- Willingness to obtain CPR and First Aid certification within 90 days of hire.

Salary:
- The salary for this non-exempt position ranges from $26.10 to $27.36 per hour, depending on experience and education.
Schedule:
- The standard workweek is Monday through Friday, either 8-4:30 or 9-5:30.

- 1 week off for Spring Break and 2 weeks off for Winter Break.
