In this dynamic role, you’ll lead our Employee Recognition Committee, plan and execute meaningful employee events, and oversee leave, ADA, and benefits administration—all while ensuring compliance with company policies and regulations. You’ll also serve as the administrator for our Human Resources Information System (HRIS) and Learning Management System (LMS), acting as the first point of contact for employees with HR-related questions, benefits inquiries, and leave requests.

GENERAL SUMMARY:

The Senior HR Generalist plays a key role in fostering a positive work culture, enhancing employee engagement, and ensuring the seamless administration of benefits and leave programs. Leads the Employee Recognition Committee and is responsible for planning and executing employee events; managing employee programs, overseeing leave, ADA and benefits administration while ensuring compliance with company policies and regulations.

This position serves as an administrator for the Human Resources Information System (HRIS) and the Learning Management System (LMS) and acts as the first point of contact to assist KVH employees with a variety of HR topics including questions about their benefits, leave options, and requests for accommodations, open enrollment, and benefits payroll deductions. 

As a member of the HR team, this role will be required to engage as an intake representative for a broad range of HR topics and will help source solutions and answers to ensure a highly valued employee experience.

 

Qualifications


Minimum Education, Training & Experience (includes licenses or certifications):

Safety Sensitive per WASB5123: NO

Education:

  • Bachelor’s Degree in Human Resources Management or five years of progressively responsible experience in Human Resources or a combination of education and experience that demonstrates competence for the role.
  • CEBS (Certified Employee Benefits Specialist) is strongly preferred.
  • PHR (Professional in Human Resources) is required within 3 years.

 

Experience:

  • At least 3 years working in an advanced Human Resources role, which combines benefits, compensation, recruiting, leave management, and employee relations. 
  • Experience in benefits and leave administration is required. 
  • Experience planning, leading and executing employee events required. 
  • Healthcare Human Resources experience is strongly preferred. 
  • Experience working the following systems strongly preferred:  Paycom, Jostle, Relias
  • Working knowledge of Google Suite of products preferred

 

Skills/Knowledge/Abilities:

  • Applied working knowledge of all functions within the Human Resources department, including benefits administration, leave administration, compensation principles, recruitment, and retention, employment and labor law, workforce development, and planning.  
  • Applied working knowledge with integrated cloud-based HRIS systems.
  • Ability to coach employees and managers in a solution-oriented manner, which encourages positive outcomes 
  • Lead, plan and execute employee events; engage with various team members to develop unique and fun opportunities for employees to participate and feel valued.
  • Requires critical thinking skills, decisive judgment, and the ability to work with minimal supervision.
  • Keen attention to detail and a high degree of accuracy.
  • Excellent organizational skills, ability to maintain complex records systems
  • Ability to promote the delivery of exceptional customer service to both internal (staff) and external customers (visitors and vendors). 
  • They must be flexible and able to adapt to changing needs, especially during times of high volume and/or stress.
  • Ability to write professional communication such as e-mails, letters, memos, agendas, meeting minutes, etc.

  • Familiarity with all functions of a Human Resources department including but not limited to the areas listed in the General Summary above.

ESSENTIAL FUNCTION / RESPONSIBILITIES:

 

  • Represent HR and the organization in a manner consistent with the KVH Core Accountabilities. 
  • Provide coaching to employees and/or managers on a variety of HR topics in accordance with all KVH policies, procedures and collective bargaining agreement(s)
  • Acts as an administrator for the Learning Management System, teaching managers how to create custom course contents and how to utilize the LMS to its fullest ability.   
  • May back up other areas in HR as needed.  
  • Builds and maintains effective working relationships. Participates as an active member of various committees; leads work groups, projects and committees as assigned.
  • Benefits Administration: 
    • Serve as primary benefit contact for employees, brokers, vendors and third-party administrators. 
    • Respond to employees, visitors, calls and electronic inquiries in a friendly and helpful manner. Take initiative to handle things within scope/ability; appropriately seek assistance or redirect issues outside of scope/ability.
    • Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims.
    • Maintain carrier feeds between HRIS and carriers, reviewing and resolving any errors in a timely manner
    • Monitor ACA compliance on an ongoing basis and prepare accurate 1095’s 
    • Develop communication tools to enhance understanding of the company's benefits package. 
    • Coordinate and host annual open enrollment and new hire open enrollment.
    • Design and distribute materials for benefits orientations, open enrollment and summary plan descriptions. 
    • Oversee maintenance of employee benefits files, maintain group benefits databases and update employee payroll records.
    • Process monthly billings for benefits group plans.
    • Audits the group plans for compliance and accuracy.
  • Leave Administration: 
    • Advise employees on the interaction of leave laws with paid time off, worker’s compensation, and short-term and long-term disability benefits.
    • Gather and ensure completion of required paperwork, including medical certifications, determine leave eligibility, designate or deny leaves as appropriate, recertify leaves, and track and account for leave time used.
    • Provide appropriate and required leave information to employees, verbally and in writing. 
    • Maintain complete and accurate records of leaves and related information. Preserve confidentiality of employee medical documentation and files.
    • Manage workflow to ensure all leave transactions are processed accurately and timely, including reporting hours each pay period, tracking leave time, and notifying employees of expirations and need for recertification.
    • Maintain reasonable communication with employees on leave to facilitate smooth and timely return to work; keep managers up-to-date about employee leaves, changes, and work restrictions.
    • Evaluate, ensure compliance with, and provide consultation on compliance on leave-related issues (FMLA, ADA, WA PFML, etc.). Escalate concerns as appropriate.
    • Keep abreast of applicable federal, state, and local leave and related laws including FMLA, WA PFML and WA paid sick leave. 
    • Ensure Paycom and other system data is accurate and current regarding benefits and leaves.
    • Document and maintain administrative procedures for assigned benefits and leave processes. 
    • All other duties as assigned.
  • Employee Recognition and Events:
    • Develop and implement employee engagement initiatives that enhance workplace culture and morale.
    • Plan and coordinate company-wide events, celebrations, wellness programs, and recognition initiatives.
    • Schedule, coordinate and lead Employee Recognition Committee
    • Create and maintain calendar of events; solicit feedback and facilitate idea generation
    • As part of a team, execute events in a timely and organized manner
