Summary

The Medical Secretary is responsible for providing administrative and clerical support for Emergency Department functions, to include physician orders, physician referrals, chart maintenance, admissions, transfers and discharges; serves as a patient advocate; and performs hospital / community liaison activities of the ED and ED Observation.

Essential Duties and Responsibilities

These duties and responsibilities described below represent the general tasks performed on a daily basis; other tasks may be assigned.

  • Interpret physicians' written/verbal orders for patients as appropriate and enters into the OAS/Gold computer system as needed
  • Recognize and flag any needed specimen ordered by physicians
  • Distinguish between routine (inpatient) floor orders and (outpatient) Emergency Department STAT orders
  • Enter admitted patients into Bed Tracking and do Bed Board for the hospital as needed on night shift
  • Prioritize emergent orders from non-emergent orders
  • Transfer / discharge patients via OAS/Gold computer system
  • Possess the ability to handle multi-line phones (i.e. messages, transfers, and callbacks as appropriate); maintain professional phone etiquette at all times
  • Operate effectively the Hill-Rom paging system to locate and page staff / family members
  • Answer incoming calls by patients and handle appropriately
  • Maintain a detailed log of all incoming and outgoing phone calls made to physicians
  • Fax referrals to private MD's for patient follow-up care
  • Maintain a daily / monthly physician call schedule, making changes as needed
  • Perform general reception duties (greeting visitors, assisting the patient in coordinating some hospital services, etc.)
  • Assist with patient transportation arrangements when appropriate
  • Maintain logs and office records according to established requirements
  • Possess the computer skills to operate a PC with hospital supported software such as OAS/Gold, McKesson and EDIS
  • Perform general secretarial functions
  • Order, stock, and maintain all office, clinical supplies, and patient dietary necessities
  • Organize patient care to reflect priority of patient's needs and set priorities to achieve maximum efficiency
  • Maintain a high level of professionalism at all times with Patients, Physicians, and Staff
  • Inform physicians continuously regarding patient diagnostic / laboratory data
  • Demonstrate knowledge of required equipment in the Emergency Department setting
  • Demonstrate knowledge of all Emergency Department policies and procedures, and Chesapeake Regional Medical Center policies
  • Promote customer excellence by identifying opportunities for improvement and initiating development
  • Consistently strive to improve customer service
  • Work efficiently, maintaining a high level of productivity, and completing assigned tasks in a timely manner
  • Function as an effective team member assisting peers with their assignments as needed
  • Ensure that the department is kept clean and safe, reporting any problems or potential problems immediately
  • Keep noise at a minimum to provide a quiet area for the patient population by being constantly aware of the noise level in the department
  • Attend required hospital-wide orientations, meetings, and in-services
  • Demonstrate a commitment to flexible work scheduling when necessary to ensure patient care

Education and Experience

Minimum Required Education: High school diploma or equivalent with course(s) in Medical Terminology

Preferred Education: Not applicable

Experience: 1 years' current hospital experience or medical office experience preferred; must have the ability to type 35 wpm

There are no certifications/licensures required for this position.

Employment Type: FT<80 (FT Benefits) Shift: Days Hours: 3 days a week every other weekend
