General Description:
The Deputy Court Clerk is appointed by the Court Clerk, subject to approval by the Chief Justice of the Supreme Court of the Cheyenne and Arapaho Tribes. This position supports both the Supreme Court and the District Court and reports directly to the Chief Court Clerk and/or Court Administrator. The Deputy Court Clerk is responsible for managing court administrative tasks, handling confidential and sensitive judicial records, and ensuring the efficient and effective operation of court proceedings and records management.
Duties and Responsibilities:
- Maintain accurate and organized records for both the Supreme Court and District Court, including docketing, scheduling, and case management.
- Process and file court documents such as petitions, motions, summons, subpoenas, and court orders promptly and accurately.
- Provide courteous and accurate information to the public regarding case status, hearing dates, and procedural matters. Direct substantive legal inquiries to appropriate resources, including the Legal Aid Department. The Deputy Court Clerk shall not offer legal advice or interpretation of the law.
- Administer oaths, issue summonses and subpoenas, and certify true copies of court documents and records.
- Receive payments for fines, fees, civil judgments, and other financial transactions, and ensure timely transfer of collected payments to the appropriate parties.
- Accurately record and document all proceedings of the Supreme Court and District Court, ensuring records are maintained securely and confidentially.
- In the absence of a Court Reporter, accurately document all court proceedings.
- Comply with all directives and procedures issued by the Chief Court Clerk, Supreme Court, or as otherwise provided by tribal law or court rules.
- Assist with coordination and preparation for court sessions, ensuring all necessary materials and arrangements are in place.
Qualifications:
- At least two (2) years’ experience in specialized legal field or knowledge and/or experience gained through an administrative or professional field with carrying out projects independently
- Demonstrated ability to handle sensitive and confidential information with discretion and integrity.
- Strong organizational and time management skills with the ability to prioritize work independently.
- Excellent verbal and written communication skills.
- Proficiency with standard office equipment and computer systems, including database management and word processing software.
- Ability to sit or stand for extended periods during court sessions, with occasional lifting and moving file boxes weighing up to 25 pounds.
- Possession of a valid Oklahoma Driver’s License and reliable transportation for occasional travel.
Ethical standards and conduct:
- The Deputy Court Clerk shall demonstrate high ethical standards, moral integrity, and fairness both professionally and personally.
- The Deputy Court Clerk shall not provide legal advice or interpret the law for any party.
Additional requirements:
- No felony convictions.
- No misdemeanor convictions within the last three (3) years.
- Ability to pass a comprehensive background investigation and periodic random drug testing
SALARY: Negotiable, depending on qualifications and experience.
