Position Overview:
We are seeking a highly organized and detail-oriented Scheduling Coordinator to join our team. The ideal candidate will have a strong background in dispatching and will work closely with our electrical and mechanical teams to ensure smooth scheduling and efficient operations.
Key Responsibilities:
- Communication: Answer phones and emails promptly to address schedule-related inquiries and confirm service appointments.
- Data Entry: Accurately enter customer details into our scheduling software and maintain up-to-date information, including excel spreadsheets.
- Billing: Accurately analyze jobs and make sure our customers are billed correctly.
- Scheduling Workflow: Follow established scheduling workflows by reading and sorting through data, collecting customer information, and applying it effectively to the scheduling process. Experience working with scheduling subcontractors is a plus.
- Calendar Management: Assist in maintaining a weekly calendar for crews, including managing dates, hours, and customer appointments to ensure optimal scheduling.
- Collaboration: Work closely with both the electrical and mechanical teams to coordinate schedules and address any scheduling conflicts or changes.
- Time Management: Demonstrate exceptional time management skills and maintain a strong attendance record.
Qualifications:
- Experience: Proven experience in dispatching is a must. Previous experience in scheduling or coordination is preferred.
- Skills: Excellent organizational, communication, and problem-solving skills. Proficiency with scheduling software and data entry.
- Strong attention to detail, ability to manage multiple tasks simultaneously, and a proactive approach to managing schedules.
