POSITION TITLE : PAYROLL SPECIALIST
Department : Finance
Reports to : Controller
Salary : $65,000-$80,000 / year
Job Snapshot
The Payroll Specialist, reporting directly to the Controller, is responsible for preparing payroll data for bi-weekly processing and providing support to employees with payroll-related inquiries. This hands-on role demands meticulous attention to detail and excellent customer service. Strong organizational and communication skills are essential, along with the ability to research and resolve payroll issues. Additionally, the Payroll Specialist will contribute to the annual 403(b) audit and assist with special projects as needed.

Preparing payroll data for payroll processing :
- Upload employees’ hours from the Mileage Calendar to Paylocity as scheduled.
- Run the missing hours report to ensure all hours (including paid time off and time without pay) are entered accurately and timely. Follow up with employees and supervisors to ensure accurate timecards for payroll processing.
- Review the hours for all employees who are on leave to ensure accuracy and calculate accruals earned on hours used.
- Verify expense reimbursements and mileage reimbursements for accuracy and prepare the data for payroll processing.
- Prepare retroactive pay calculation, if available.
- Calculate donated vacation hours as needed.
- Prepare manual check calculations, such as employee separations and missing hours.
