Position Purpose:
Position Purpose
The Office Manager / Executive Assistant plays a key role in ensuring smooth office operations Monday through Thursday (32 hours per week) while providing valuable administrative support to our executives. This role requires a proactive, organized, and adaptable individual who thrives in a dynamic environment and enjoys balancing a variety of tasks, from office management to executive assistance. At times, this role may need to flex to 36 hours per week.

Responsibilities
The incumbent must be able to perform all the following duties and responsibilities with or without reasonable accommodation.

Office Management:
  • Oversee daily office operations to ensure a well-organized, functional, and efficient workspace.
  • Manage office space, including seating arrangements and scheduling shared spaces.
  • Ensure compliance with health and safety regulations to maintain a safe and comfortable work environment.
  • Coordinate with facilities management for maintenance and facilities-related needs.
  • Manage office and breakroom supplies, including ordering, inventory tracking, and organization.
  • Coordinate and manage office equipment maintenance and repairs, including liaising with vendors and service providers.
  • Greet and direct visitors, ensuring a warm and welcoming experience.
  • Handle incoming and outgoing mail, including sorting, distribution, and shipping coordination.
  • Plan and organize company-wide meetings, events, and team-building activities.
  • Monitor and manage routine office expenses, including supplies, repairs, and team events, with a focus on cost efficiency.
  • Oversee office opening and closing procedures.
  • Maintain general office and breakroom cleanliness and organization.
  • Perform additional duties as assigned, based on team needs and capacity.
Executive Support:
  • Provide high-level administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Schedule and organize executive meetings, conferences, and travel, ensuring all logistics are managed efficiently.
  • Prepare, edit, and proofread reports, presentations, and other key documents for executives with attention to detail and accuracy.
  • Handle sensitive and confidential information with discretion and integrity.
  • Maintain accurate and organized filing systems, both digital and physical, to support easy access and record-keeping.
Communication and Coordination:
  • Serve as a key point of contact, facilitating communication between executives, internal teams, and external clients or vendors.
  • Support meeting management and coordination across departments to ensure alignment and efficiency.
  • Assist in the implementation of key initiatives and projects by providing administrative support as needed.

Qualifications
  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
  • 3 years of office management or administrative support experience, preferably with executive-level exposure.
  • Excellent organizational and multitasking abilities.
  • High attention to detail with a proactive, solution-focused mindset.
  • Strong problem-solving abilities and flexibility in adapting to changing priorities.
  • Strong verbal and written communication skills, with excellent interpersonal abilities.
  • Ability to work independently and collaboratively within a team.
  • Ability to manage sensitive and confidential information with discretion.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) and office management software.
Physical Demands
  • Must be able to work around pet hair and dander.
Nature of Supervision
  • This position has no direct reports.
Work Environment
  • Operates in a standard office environment. The majority of job duties are performed while seated indoors with little or no exposure to hazards.
