The company headquartered in Long Island City, NY, is a leading supplier of aviation and aerospace components. The company specializes in providing a wide range of parts, including semiconductors, capacitors, connectors, and fasteners, primarily serving the defense, commercial, and space industries.
Position Overview:
We are seeking a proactive and detail-oriented professional to take ownership of key responsibilities directly reporting to senior management. This role will be pivotal in enhancing our customer satisfaction, addressing claims, and maintaining effective communication with clients and partners.
PRIMARY RESPONSIBILITIES:
  • Client and Supplier Communication
    • Serve as the main liaison between the company and clients, suppliers, or business partners during the inspection and quality control process.
    • Address and resolve any issues related to product appearance, functionality, or compliance.
  • Claims Management and Issue Resolution
    • Act as the primary point of contact for claims received from overseas customers.
    • Coordinate with relevant internal teams to investigate and resolve claims efficiently.
  • Negotiation and Relationship Building
    • Collaborating with the estimator, negotiate effectively with partners and suppliers to address and resolve concerns while maintaining positive working relationships.
    • Facilitate seamless communication between procurement, logistics teams, and external stakeholders.
  • Quality Assurance Support
    • Collaborate with the operations team to inspect and review incoming goods, ensuring compliance with quality standards.
    • Provide timely updates and solutions to clients regarding product conditions and related issues.
  • Customer Service and Feedback Management
    • Follow up with customers' post-delivery to ensure satisfaction and address any concerns or returns.
    • Collect and analyze customer feedback to improve services and overall satisfaction.
Other responsibilities:
Collaborate and assist procurement and logistics team occasionally.
[Procurement]
  • Reviewing purchase requests and creating buying duties based on requirements
  • Preparing and submitting purchase orders to manufacturers/ suppliers
  • Tracking inventory levels and generating purchase orders
  • Coordinating with other staff to ensure timely delivery of goods and services
  • Maintaining accurate records of purchases, contracts, and inventory levels

[Logistics]
  • Managing distribution and shipment timeline and budget
  • Coordinating with transportation to track the movements of shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications
  • Review of purchase orders to ensure accuracy and fix shipment errors
  • Respond and follow up with all inquiries (written and verbal) for vendors and customers related to purchase orders
  • Prepare, maintain, and review purchasing files, reports and/or price lists.

  • Seeks constant improvement, more efficient and less expensive ways and means in work processes.
  • Maintains good communication with management, office staff members, and outside contacts.

QUALIFICATIONS AND REQUIREMENTS:
  • 2 years of customer experience preferred
  • Exceptional communication and interpersonal skills and an ethical mindset
  • Detail-oriented with excellent problem-solving abilities
  • Ability to work collaboratively with internal teams and external partners
  • Experience in a flexible work environment is a plus

SKILLS
  • English Language skills: must be able to read, write, and speak at the business level
  • Japanese Language skills: must be able to read, write, and speak at the business level
  • Organization and Self-motivation: must be able to stay organized and self-motivated to meet company expectations and plans
  • Communication and Teamwork: Excellent communication and interpersonal skills to effectively interact with employees in a team and external partners
  • Understanding of collaboration in a fast-paced environment: as a small team, everyone collaborates and helps each other when it is needed
  • Ability to use computers and other technology for inventory and communication purposes

*NOT NECESSARILY REQUIRED BUT PLUS:
Understanding the supply chain, including common obstacles and practical solutions, is a plus but not necessarily required. There will be on-the-job training and advisory on occasion.

WORK ENVIRONMENT:
This position is full-time on-site working.
PHYSICAL DEMANDS:
Work is performed in an at-home office environment and requires the ability to operate standard office equipment and keyboards and verbal communication.

Salary : $45,000
