Summary of Position:

Circle the City is a rapidly growing non-profit dedicated to providing high-quality, holistic healthcare to people facing or at risk of homelessness in Maricopa County. Circle the City is designated by the US Department of Health and Human Services as a Federally Qualified Health Center. Circle the City provides comprehensive primary care alongside fully integrated behavioral health and case management services to more than 8,000 individuals facing homelessness each year.

The Practice Manager comprehensively manages day-to-day operations of the family health center and is accountable for its successful operation, including the achievement of financial targets, clinical quality goals, employee engagement, and patient satisfaction. In partnership with the Chief Operating Officer and Medical Director, the Practice Manager ensures the health center regularly achieves the triple aim of providing efficient, effective, and patient-centered healthcare.

Essential duties:

Duties include, but are not limited to:

  • Leads a diverse team of administrative staff, licensed nurses, medical assistants, phlebotomists, , and drivers.
  • Recruit, interview, hire and train staff as growth or vacancy occurs.
  • Conducts regular performance management duties including regular one-on-one updates with staff, coaching, new hire and annual evaluations, and performance improvement plans as needed.
  • Understands and occasionally performs both front office (patient check-in and registration) and back office (patient flow) duties.
  • Maintains work schedules for assigned staff that adhere to approved budgetary guidelines, minimizing dependence on overtime and/or other premium labor; Oversees the preparation, submission, and approval of timecards for assigned staff.
  • Supervises day-to-day flow of the clinic, ensuring that the tasks and duties of assigned staff are completed timely. Participates in regular process improvement workgroups to identify areas of opportunity and implement sustainable change.
  • Oversees scheduling and maintenance of patient appointments, provider calendars, and manages daily walk-in volume.
  • Responds to medical providers requests to investigate and solve problematic operational areas.
  • Ensures the clinic adheres to Arizona Department of Health Services (ADHS) licensing and other regulatory compliance standards; Prepares and distributes reports and statistical data as requested by the Chief Operating Officer and Circle the City executive leadership team; Acts as a champion for all agency goals related to the family health center including patient, employee, and financial outcomes; Partners with Human Resources to develop schedules and curriculum for initial and ongoing staff training and development.
  • Tracks, reports, and participates in quality improvement activities to improve program-related operational, fiscal, and clinical performance.
  • Attends leadership meetings and works to ensure the provision of the highest quality of care for the patients.
  • Attends relevant and required meetings (both internal and external, stakeholder meetings, forums, alliance meetings, etc.) training, and community events.
  • Maintains strict confidentiality guidelines regarding all clients, conversations, and referrals in line with local, state, and federal statutes and organizational policies.
  • Exhibits a high degree of courtesy, tact, and poise when interacting with patients, families, and other personnel. Acts as an organizational ambassador to the surrounding community and conducts themselves with the highest degree of professionalism, transparency, and respect.

Qualifications:

Basic Knowledge and Skills:

  • Excellent leadership skills and problem-solving ability.
  • Basic knowledge of medical terminology.
  • Proficient in the use of a personal computer and ability to quickly learn relevant systems.
  • Strong mastery of the English language with regard to reading, writing and speaking abilities.
  • Excellent communication and customer service skills, including conflict resolution and de-escalation abilities.
  • Ability to work in a fast-paced, challenging environment.
  • Demonstrated interest in working with an underserved population.
  • Strong interpersonal skills to interact positively and effectively with patients, visitors and physicians. Must possess excellent verbal and written communication skills.
  • Spanish bilingual preferred.

Education & Experience

  • Bachelors Degree in Business Administration, Management or related field, or equivalent minimum experience.
  • 4 years experience in a medical environment, clinic, or physician setting. Minimum 3 years leadership experience in a relevant field.
  • Requires a current Arizona state drivers license.

Physical and Mental Requirements:

  • Position requires extended periods of sitting and standing.
  • Position requires regular bending and reaching, including transfer of patients.
  • Comfortable in handling competing priorities in an occasionally high-stress environment.
