Undertakes a broad range of personnel-related functions for the Department of Atlanta Information Management (AIM). Fosters and streamlines communication between AIM and the Department of Human Resources (DHR) by serving as a liaison. Contributes to a company's culture and employee performance. Maintain and support ongoing reporting and analysis to provide indicators of department performance and trend analyses. Develop reports of Department or external trends / best practices, developments, issues, etc., for use in strategic planning, goal setting, budget development, etc. Participate as a member of department and cross-organization teams to improve processes and productivity.

Provide excellent customer service and recommendations to leadership regarding the appropriate actions to meet departmental goals.

Duties at this level include but are not limited to assisting the department's Chief of Staff (COS) with planning and executing professional tasks in the areas of communication, continuous improvement, diversity, equity, and inclusion, employee experience, training and organizational development, performance management, human resources, and workforce planning; supervising interns; representing the department by attending various meetings and programs that require presentation for the department; and acting as liaison for various occasions.

This is a professional-level role capable of carrying out most assignments typical of the profession with limited guidance or review. Works under general supervision and is evaluated based on results obtained. Works independently and is responsible for assigned functions, programs, and teams. Maintains confidentiality as required and as appropriate in a professional setting.

Responsibilities

These are typical responsibilities for this position and should not be construed as exclusive or all-inclusive. May perform other duties as assigned.

Coordinates, prepares, and tracks workforce actions for AIM.

Works with the Department of Human Resources Business Partners (HRBPs) and AIM leadership to ensure the accurate and timely flow of transactions, including maintaining AIM's workforce planning Trello board, requests to fill, requisitions, job postings, requests to extend offers, salary adjustments, promotions, demotions, second assignments, PAC-1's, personnel papers, etc.

Provides support to the AIM executives by running reports to analyze and compile data and identifying departmental trends, including retention, vacancies, time to fill, etc.

Leads the AIM internship, fellowship, mentorship, and sponsorship programs ensuring alignment with the department's short term and long-term talent development goals.

Conduct New Employee Orientation for all AIM new hires.

Updates department organizational charts.

Participates in Department / Citywide career fairs.

Makes recommendations based on the analysis of personnel trends, including tracking and reporting on hiring, vacancies, and personnel actions.

Tracks departmental personnel actions and provides weekly / monthly reports to the AIM Chief of Staff.

Partners with HRBPs and the Talent Acquisition team on candidate tracking and relationship management.

Tracks and manages the completion of mandatory compliance training.

Arranges departmentwide training sessions (ITIL, safety, AIM training curriculum, etc.).

Monitors usage and manage the distribution of training licenses.

Assists the AIM Chief of Staff in providing recommendations to the leadership team by supporting departmental development and problem-solving.

Assists leadership in recruiting, interviewing, and onboarding new hires.

Assists leadership in offboarding departing employees, including distributing letters of recognition for retirement, ensuring city-owned equipment has been returned, etc.

Tracks department hiring and vacancies to develop and distribute the department's organizational charts.

Monitors and validate departmental position reports.

Collaborates with managers and HRBPs to identify ongoing departmental training opportunities.

Manages, tracks, and coordinates timely completion of performance evaluations.

Tracks and follows up on the progress of employee training.

Generates and publishes the department's newsletter.

Knowledge, Skills and Abilities

  • Knowledge of organizational and operational analysis.
  • Skill in communicating clearly and effectively, both orally and in writing, at all levels within and outside the organization.
  • Project Management and coordination of deliverables.
  • Ability to use independent judgment and make sound decisions under established procedures and policies.
  • Ability to gather relevant information to solve practical problems.
  • Ability to prepare and deliver logical summaries and conclusions related to organization and planning.
  • Ability to maintain strict confidentiality and exercise discretion and sound decision-making when handling sensitive documents and information.

Qualifications

Qualification and Education Requirements

Bachelor's degree in business or public administration, management, or a related field.

One year of progressively responsible professional analytical experience.

Preferred Education & Experience

Three years of progressively responsible professional analytical experience
