Main Responsibilities:
- Provide clerical support to the department, including answering phones, responding to emails, and maintaining records and files.
- Manage day-to-day administrative tasks, such as scheduling appointments, preparing reports, and coordinating meetings.
- Assist with budget preparation, track department expenses, and maintain accurate financial records.
- Develop and implement effective filing systems, both physical and digital, to ensure efficient access to information.
- Collaborate with colleagues to achieve departmental goals and objectives, while maintaining confidentiality and discretion when handling sensitive information.
Requirements:
- Graduation from high school with a course background in secretarial science, general office practice, and procedures.
- One year of specialized training in bookkeeping provided through college courses or on-the-job workshops.
- Two years of responsible experience performing above or related duties.
- Ability to type 45-60 wpm and operate a variety of office equipment, including computers, copiers, and fax machines.
- Strong communication and interpersonal skills, with the ability to establish and maintain effective working relationships with colleagues, elected officials, and the public.
