What are the responsibilities and job description for the Office Specialist - Library Administration, Full-time position at City of Chesapeake?
- Serve as the Library’s liaison to Human Resources for recruitment efforts.
- Work directly with hiring supervisors and managers on tasks such as drafting job postings, advertising position openings, interviewing candidates, and completing new employment documentation.
- Process paperwork for new and promoted employees including verifying employee eligibility in E-Verify and preparing and inputting personnel actions in Munis and DocuSign.
- Communicate with Library’s training specialist and supervisors to coordinate employee orientation.
- Establish and oversee the maintenance of employee files/records.
- Work with the Library’s Payroll/HR Technician to ensure all employees are properly compensated and payroll documentation is completed accurately.
- Assist with the processing of employee evaluations.
- Perform specialized office procedures such as preparing documents, correspondence, and reports.
- Distribute, relay, and explain regulations, policies, and procedures.
- Interact with other City departments, library staff, and customers by telephone, email, or in person.
- Compile data and prepare specialized reports.
- Assist with daily operations and Library special projects.
- Order supplies for office equipment.
- Maintain and update staff phone list for internal use and emergency contacts for each Library building for Police, Fire, and Facilities departments.
- Perform other related duties as assigned.
EXPERIENCE REQUIREMENT:In addition to satisfying the vocational/education standards, this class requires a minimum of three years of full-time equivalent experience in administrative support.
SPECIAL CERTIFICATIONS AND LICENSES: Depending on departmental operational requirements, may require valid driver’s license and driving record in compliance with City Driving Standards.
SPECIAL REQUIREMENTS: Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Emergency operations support work and work locations may be outside of normal job duties.
An in-basket exercise will be administered to candidates that are selected for an interview.
