This position provides a wide variety of highly responsible, confidential, and complex administrative support to the CMO under the direction of the City Manager. Provides responsible and varied assigned administrative and sophisticated clerical support for the CMO using independent judgment, initiative, and ability to handle multiple tasks and discretion with strong emphasis on office support. Serves as a liaison between the City Manager’s office and internal/external constituents.  Serves as an information resource to City Council, employees and management, and the citizens of Golden. May provide support to other department directors as necessary. Sensitivity to confidential matters is paramount.

Responds to and resolves difficult and sensitive governing body and/or citizen concerns, complaints and inquiries. Refers to appropriate City personnel as needed.


Greets citizens and guests; reads and routes incoming mail; locates and attaches appropriate files to correspondence to be answered by City Manager or designee; prepares outgoing mail. Manages files and records related to the City Manager’s office.


Gathers information weekly to send out as” Weekly Council Update”.


Assists the communications division with community outreach including working on the website, Guiding Golden, and special event assistance.  


Serves as resource for information for City staff, citizens, and business contacts to answer inquiries. Assists others and conducts business for the benefit of the City, both on the phone and in person, as a first point of contact.


Provides administrative support to City Manager’s office and City Council by composing correspondence, letters, memos and scheduling calendars in order to assure complete and timely information is shared appropriately. Independently responds to letters and general correspondence of a routine nature.   


Coordinates and makes travel arrangements for assigned staff and City Council; maintains appointment schedules and calendars; arranges meetings, conferences, and civic functions for managers as necessary.


Processes accounts payable invoices and tracks budget for City Manager’s office utilizing COG applications and systems; processes credit card receipts and statements for purchasing card and other financial information for the City Manager’s office to comply with purchasing requirements and recordkeeping purposes. Coordinates general office functions related to maintenance of equipment and stocking of office supplies.


Prepares, distributes and maintains highly confidential materials and information to ensure City Manager, executive management, and City Council are kept informed and aware of essential and pertinent information.


Establishes trusting and congenial relationships between the City Manager’s office and internal/external customers by interpreting and answering questions concerning policies and administrative operations or directing to appropriate resource for resolution.


Provides staff assistance to various committees as assigned.  Serves as backup for other administrative positions which may include additional phone coverage, taking of meeting minutes and other support activities.


Coordinates purchasing of supplies; develops inventories with a solid knowledge of how to utilize COG technology and applications to keep track of all inventories and supplies.


Runs work-related errands as requested.


Performs other duties as assigned.

Administrative Technician II 

High school diploma or GED. Associate's degree or equivalent from a two-year college or technical school preferred. Minimum three years increasingly responsible administrative support.


Proficient computer skills including MS Office/365, Outlook, and Internet required, ERP/HRIS experience preferred.  Equivalent combination of education and experience may be substituted for requirements.


CERTIFICATES, LICENSES, REGISTRATIONS
Must possess a valid driver’s license and a good driving record.

LANGUAGE SKILLS
Must possess excellent written and verbal communication skills.  Proficient in English usage, spelling, grammar, and punctuation. Ability to read and interpret documents such as policy and procedure manuals and code books.  Ability to prepare and write routine reports, business letters and correspondence.   Ability to effectively present information in one-on-one and small group situations to citizens, customers, clients, and other employees of the organization.


MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals for preparation of accounts payable and basic budget preparation.   Ability to compute rate, ratio, percent, and to draw and interpret bar graphs.


REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with practical problems involving a variety of concrete variables where limited standardization may exist. Ability to use independent judgment in most situations. Ability to work well with limited or no supervision.


OTHER SKILLS AND ABILITIES
Outstanding customer service and interpersonal communication skills are required.  Must possess excellent written communication skills, business writing skills, principles, and procedures of record keeping.   Exceptional organizational skills and attention to detail are required.  

Ability to multi-task and interact in a dynamic environment using independent judgment and personal initiative. Ability to exercise independent judgment in absence of supervision. Flexibility and the ability to work independently.

Computer, printer, copier, phone, and other related office equipment.

The work environment is primary in an office setting.  The noise level in the work environment is usually moderate.
