Classification: This is a temporary position, limited to a maximum of 980 hours per fiscal year.

General Summary: The Office Assistant for the HR Talent Team provides essential support to enhance the efficiency and effectiveness of the HR department's recruitment and talent initiatives. This role is responsible for assisting with daily clerical tasks, managing candidate correspondence, maintaining accurate records, and supporting the recruitment team with scheduling, data entry, and coordination efforts. Additionally, the Office Assistant will perform Live Scan fingerprinting for new hires as part of pre-employment background checks and must be comfortable working in close proximity to others during these interactions. Daily interactions with the public are a key part of this role, and the Office Assistant must professionally represent the City to foster a welcoming and positive experience for all. The ideal candidate is organized, detail-oriented, and able to handle multiple tasks in a fast-paced environment. Strong communication skills and a proactive approach are essential, as the Office Assistant will play a key role in creating a positive experience for both candidates and team members.
Supervisory Responsibilities:

Responsibilities may include, but are not limited to:
- Handling incoming calls and other communications
- Manage filing system and record information as needed
- Greet clients and visitors
- Update paperwork, maintain documents and word processing
- Help organize and maintain office common areas
- Perform general office duties and run errands
- Assist with the coordination of events as necessary
- Maintain supply inventory
- Opens, sorts, and distributes incoming mail
- Collect and stamp outgoing mail
- Performs other related duties as assigned
- Performs Live Scan fingerprinting for new hires as part of pre-employment background checks
- Scheduling interviews
- Monitoring and updating internal recruitment tracking boards
