DISTINGUISHING CHARACTERISTICS OF THE CLASS:
This is responsible administrative, technical and difficult clerical work performing duties which help relieve an administrative supervisor of assigned operational duties. Work is performed under the general supervision of an administrator, division head or functional supervisor. Work products are reviewed through personal conferences, proper preparation and execution of written documents, or evaluation of completed assignments to ensure conformance with applicable policies, procedures, laws, rules and regulations.
An employee in a position allocated to this class may have considerable contact with the general public, City officials and City employees. Work performed is often of a sensitive or confidential nature.
High school diploma or G.E.D. Plus, two to three (2-3) years experience of an administrative, technical or high level clerical nature, in work within a required area of specialization.
OR
An equivalent combination of training and experience which provides the required knowledge, skills and abilities.

- Performs several administrative duties for a department such as filing and preparing records;
- Provides answers to inquiries to the general public, public officials, City employees or other individuals requesting assistance or public information;
- Records messages when needed and notifies the appropriate staff member in a timely manner;
- Perform duties i.e. receiving, faxing documents, public records and other requests.
- Greets employees and visitors in a friendly and professional manner;
- Answers calls received on the City switchboard;
- Maintains a current record of changes in offices and personnel in order to route incoming calls to the proper persons;
- Operates postage stamp machine/scale, and reconciles postage expenditures for each department;
- Ensures that sufficient postage is available to cover daily outgoing mail;
- Sorts and distributes incoming mail and receives deliveries;
- Gives general information in response to public inquiries;

- Ability to make proper decisions independently in the absence of an administrative superior;
- Ability to deal effectively with the general public and other individuals in an office environment;
- Ability to quickly and accurately make complex calculations;
- Ability to type from clear copy or rough draft at a minimum of 30 net words per minute.
- Physical ability to perform duties.
