Summary

As a Recreation Faciities Coordinator with the City of Webb City, you will be instrumental in coordinate activities in support of Park facility operations including but not limited to event services, sales, and marketing, and operations. Responsibilities as assigned may include providing customer service; processing registrations and/or reservations; maintaining records; assisting in the planning, organization and implementation of programs; enforcing policies and procedures; and, monitoring and maintaining program equipment, supplies and materials. Incumbents provide recommendations for hiring, discipline, and termination procedures for part-time and seasonal staff.

Duties

  • Provides coordination and service support in the use and operations of facilities and/or coordination of events; serves as a liaison with recreational/sports organizations and other clients in facilitating events and activities.
  • Reviews facility and event resources and scheduling; monitors staffing and other material needs; coordinates, facilitates and ensures facility, event, and equipment readiness.
  • Assists in administering contracts; reviews facility/service rental contracts and agreements, reviews special conditions and insurance requirements; ensures receipt of required documents; oversees event setup and breakdown; and ensures effective concession operations.
  • Monitors facility and equipment use ensuring that policies and procedures are adhered to. Provides customer service support and responds to inquiries and requests for information.
  • Monitors supplies and equipment inventory; reviews material needs and places orders based on planned events.
  • Maintains files, records and required documentation.
  • Manage records and information in any format, in accordance with applicable statutes, regulations and City policy, guidance and records retention schedule.
  • Performs other duties of a similar nature and level as assigned.

RESPONSIBILITIES MIGHT INCLUDE:

Positions assigned to Special Events may be responsible for:

  • Assist special events and outreach supervisor on part of or all of special events.
  • Assist with coordination and facilitation of outreach efforts
  • Supports social media marketing for Webb City Parks & Recreation;
  • Assists with sponsor development, including identifying options and securing resources;
  • Assists with execution of a creative marketing strategy to promote an event;
  • Researches, plans, implements, and evaluates new events, programs, and outreach throughout the community.

Qualifications

  • Associates degree in Business Administration, Recreation Administration or a closely related field and experience in parks facilities management or event management or project management; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

LICENSING/CERTIFICATIONS:
Depending on assignment, may require:

  • Valid driver’s license and safe driving record;
  • CPR Certification;
  • First Aid Certification;

KNOWLEDGE OF:

  • Applicable Federal, state and local laws, codes, regulations and/or ordinances;
  • Contract administration principles;
  • Project management principles;
  • Positive and effective customer service principles;
  • Mathematical concepts;
  • Modern office equipment.

SKILL IN:

  • Interpreting and applying applicable laws, codes, regulations and standards;
  • Coordinating facility and/or event services;
  • Monitoring events, facilities and equipment and ensuring safe operations;
  • Reviewing contractual agreements;
  • Assisting with contract administration;
  • Monitoring supplies inventory;
  • Assessing staffing and resource needs;
  • Identifying issues and providing solutions;
  • Providing positive and effective customer service;
  • Maintaining records and documentation;
  • Utilizing a computer and relevant software applications;
  • Promoting a culture of teamwork and communication by working in collaboration and treating coworkers with respect and dignity and maintaining an open mind to diverse voices and ideas.

Employees are also expected to promote a positive work environment and to be effective and collaborative team members, while providing responsive municipal services to the citizens of the City of Webb City.

Medium Work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
