Position Summary:
The Assistant City Clerk is responsible for administrative functions of the city under the direction of the clerk/treasurer and the city council.
Responsibilities:
1. Prepare drafts of meeting agendas, and post or publish as required.
2. Attendance at regular and special meetings.
3. Prepare meeting packets and distribute them to council members.
4. Record and type minutes of city council meetings, as needed.
5. File minutes and other documents to make sure they are stored, filed, and maintained correctly to be easily retrieved when needed.
6. Act as a liaison between the City Council and the public.
7. Prepare official reports, legal documents and reference materials.
8. Correspond with the City Attorney and City Engineer and WLSSD.
9. Coordinate the mail-ballot election with Carlton County.
10. Maintain/update the Employee Handbook.
11. Maintain the City website and social media accounts.
12. Answer and respond to incoming phone calls, emails, complaints, requests.
13. Work with the water operator and maintenance staff to keep Silversmith data up to date.
14. Hold quarterly OSHA meetings with staff
15. Print, monitor, and file locate requests
16. Working with the mayor and building inspector to issue building permits.
17. Manage city hall rentals.
18. Process mail.
19. Acquire burning permits as needed by maintenance staff.
20. Receipt utility and permit payments, as needed.
21. Provide back-up and assistance to the city treasurer, as needed.
22. Perform other duties assigned by the city council.
Minimum Requirements/Qualifications:
· Work experience as a city clerk or in a similar clerical role
· Knowledge of Microsoft Office and Excel
· Preferred minimum of two years office experience
· Proficiency in reading, interpreting and communicating procedures and policies
· Excellent writing and oral communication skills
· Strong interpersonal skills
· Current certification preferred or licensed as Certified Municipal Clerk within three years of hire
