The Donor Relations Specialist plays a vital role in maintaining strong connections with our donors by overseeing the acknowledgment process, appropriately managing donor inquiries, facilitating the birthday greeting process, and ensuring accurate donor recognition. This position requires meticulous attention to detail, strong organizational skills, diligent follow-up, an understanding of the viewpoint and concerns of donors, an ability to navigate organizational operations, and the ability to work independently to ensure the timely and accurate execution of essential donor-related activities. The Donor Relations Specialist will encounter situations requiring considerable discretion, sound judgment, tactful communication, diplomacy, and timely responsiveness.

Key Responsibilities
- Acknowledgment Process:
- Under the direction of the Senior Director, Philanthropy Operations, oversee the weekly acknowledgment process with a strong emphasis on timeliness and accuracy.
- Partner with the Senior Development Writer to ensure donors receive appropriate acknowledgment for their contributions.
- Acknowledgments are a critical function at CJP and comprise a significant portion of the responsibilities within this role.
- Engaging with community members
- Handle a variety of emails and phone calls, including sensitive and potentially challenging communications, with professionalism and empathy.
- Address as many inquiries as possible independently and escalate complex or unresolved issues to the appropriate departments, demonstrating a thorough understanding of the organization's operations.
- Birthday Greetings
- Oversee the birthday greeting process by coordinating and tracking communication through physical cards, emails, or personal outreach from the CEO.
- Ensure that birthday greetings are sent out promptly and that donor preferences are respected.
- Donor and Volunteer Recognition
- Produce recognition lists, contributing to the annual Recognition Report and other recognition projects as needed.
- Maintain accurate records of recognition names.
- Responsibilities include administrative services of a complex, confidential, and sometimes urgent nature.
- Performs special projects using organizational skills and individual judgment as requested.
- Participates in various departmental and organizational events and study opportunities where appropriate and when interested.
- Performs other duties as assigned with or without accommodation.
Education:
- Bachelor’s degree or equivalent experience
- 2-4 years of related office experience; experience performing independent projects preferred.
- High standards of excellence, superior attention to detail, strong organizational skills, and a commitment to accuracy and follow through.
- Possess a genuine understanding of and empathy for the perspective of donors.
- Ability to meet deadlines, prioritize and manage complex tasks, work independently and under pressure.
- Comfortable with routine tasks and able to maintain a consistent work ethic.
- Enjoy working extensively on computers.
- High proficiency in Windows environment, including MS Word, Excel, Database, and Internet. Particularly skilled data manipulation and analysis in Excel.
- Effective interpersonal and written and verbal communication skills.
- Ability to exercise initiative and sound judgment and to react resourcefully under varying conditions.
- Ability to create and accurately proofread documents and correspondence.
- Ability to work well in team-oriented environment.
- Ability to maintain confidentiality.
- Ability to be flexible and adaptable to changes and shifting priorities.
- Reports to Senior Director, Philanthropy Operations. Has no direct reports.
- Hybrid Work Schedule: CJP staff follow a hybrid work model. On-site work is required on Tuesdays and Wednesdays, while remote work is an option on Mondays, Thursdays, and Fridays, with occasional in-person meetings on those days.
- Physical Requirements: This role involves remaining in a stationary position, often sitting or standing for prolonged periods, primarily working at a computer. Staff need to be able to carry a laptop and bag to and from the office.
