Front Desk Office Manager needed for a busy diagnostic imaging facility. MUST Have 2 years Experience in Medical Environment.
Hours for this position will be Monday – Friday 8am to 5pm with some on-call.
We are looking for a Front Desk Office manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. A successful Front Desk Office manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities
· Above average Above average communications skills, written and verbal; ability to converse well on the telephone and in face to face situations.
· Knowledge of customer service concepts and techniques
· Monitor slack and emails and follow up as needed
· Supply orders for all Florida sites
· On-boarding and training new hires at all sites
· Finding coverage for team members who call out or no show
· Monitor patient complaints and follow up
· Assisting technicians with patient problems
· Weekly bank runs
· Checking in patients and scheduling as needed
· Working on monthly challenges and goals for the team
· Following up on action items from weekly meetings
· Coaching team members
· Sending informational emails to the team
· Following company policies and procedures for discipline and documenting all written coaching and termination paperwork
· Ensuring office is clean
· Conducting team member reviews
· Monthly Meetings with team members on productivity
· Tracking arthograms and sending statement to finance to ensure physicians are paid in a timely manner
· Work on coverage when staff are on PTO
· Making patient CDs as needed
· Keep up with team member side duties
· On call rotation
Skills
· Knowledge of office administrator responsibilities, systems and procedures
· Associate Degree Required
· Bachelor degree preferred
· Required 5 year management and/or supervisory experience preferably in a Radiology environment
· Proficiency in MS Office (MS Excel and MS Outlook, in particular)
· Hands on experience with office machines (e.g. fax machines and printers)
· Excellent time management skills and ability to multi-task and prioritize work
· Attention to detail and problem solving skills
· Excellent written and verbal communication skills
· Strong organizational and planning skills in a fast-paced environment
· A creative mind with an ability to suggest improvements
