Under the direct supervision of the President, the Executive Assistant & Medical Staff Coordinator is responsible for administrative support and projects for the administration, governing board, committees, medical staff, and departments as assigned. The Executive Assistant is also responsible for Medical Staff Services including credentialing, Professional Practice Evaluation (PPE) and regulatory compliance.
A caregiver in this position works 8:00am—4:30pm.
A caregiver who excels in this role will:
Run and maintain the operations of the President's office including schedules, correspondence, and telephone traffic. Periodically arranges schedules of Senior Management personnel as requested by the President.
Provide secretarial support for the Board of Directors, Finance and Operations, Medical Executive Committee, General Medical Staff, Management Council, Board Performance Improvement Committee, and Pharmacy and Therapeutics Committee.
Manage the pre-meeting and post-meeting activities (e.g., schedule room, post notices, notify Dietary, IS, Maintenance as necessary) for the above listed groups including agendas, drafting minutes, and working with other departments to provide documents and data required for respective meetings.
Manage initial and reappointment process of all Medical Staff applicants in a timely and comprehensive well-organized manner to include research, verification, and analysis of all appropriate documentation to ensure compliance.
Organize the process: coordinate the review and reporting recommendations of Professional Practice Evaluation (PPE) for all Medical Staff members.
Perform primary source verification of all Medical Staff applicants through medical school, internship, residency, fellowship, medical references, data bank, malpractice insurance coverage, state medical boards, board certification, DEA, and other regulatory agencies and pertinent practice history.
Identify "red flags" (time gaps, discrepancies, derogatory information, etc) and ensures the completed Medical Staff application are reviewed and acted upon as appropriate through Chiefs' of Service, Medical Executive Committee, Administration and Board of Directors.
Coordinate General Medical Staff dinners with sponsors including guest speakers, topics of discussion, restaurant location, distribution of invitations and follow-up activities, as necessary.
Interact extensively with the President regarding meeting preparation, and follow-up; assignments and progress on projects; policies and procedures maintenance; hospital, community, and departmental operation and Medical Staff activities.
Work with President and others concerning all aspects of physician recruitment including working with Physician Recruiters, setting up meetings and providing itineraries for site visits.
Work with prospective physicians or recruiters regarding flight, hotel, and car rental arrangements.
Line up restaurants and attendees such as Board members or other physicians to attend dinners and luncheons.
Update hospital policy manual, corporate and medical staff bylaws, draft letters, and contracts, prepare Power Point presentations, Excel spreadsheets, and Publisher documents.
Minimum qualifications for the ideal future caregiver include:
High school graduate or the equivalent.
Associate's degree in office administration or the equivalent experience.
One year of experience as a secretary or credentialing assistant.
Knowledge of hospital office procedures.
Skill in typing/word processing, filing, and business writing for composing correspondence.
Proficient in the use of Microsoft Office software.
Knowledge of accreditation standards, federal and state laws concerning credentialing.
Excellent verbal and written communication skills.
Can manage complex and ever-changing environment related to credentialing and office responsibilities.

Pay Range
Minimum hourly: $20.77
Maximum hourly: $31.68
