Key Responsibilities:
- Primary Administrative Support: Manage the President's calendar, schedule meetings, and coordinate travel arrangements. Ensure that meetings are not double-booked and proactively prioritize with the President, other leadership and 3rd parties the required meetings.
- Other Administrative Support: Support the calendars and travel requirements for CEO, Chief of Sales and Chief Human Resources Officer.
- Communication: Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
- Meeting Coordination: Prepare agendas, take minutes, and follow up on action items from meetings.
- Liaison Role: Serve as the primary point of contact between the President and internal/external stakeholders.
- Event Planning: Organize company events, dinners, and other corporate functions.
- Document Preparation: Draft, edit, and proofread documents, reports, and presentations.
- Systems: Ability to learn access of necessary systems used by the Company.
- Confidentiality: Maintain confidentiality of sensitive information and handle confidential matters with discretion.
- Other: Duties as assigned related to this position.
- Education: Experience and proven track record in an executive assistant role or Bachelor's degree in Business Administration or related field preferred.
- Experience: Minimum of 7 years of experience in an executive assistant role, preferably supporting C-level executives.
- Skills:
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and handle multiple tasks simultaneously.
- Ability to work remotely.
- Availability as needed to complete job and limited travel for events.
- High level of professionalism and discretion.
- Attention to Detail: Ensures accuracy in all tasks and documents.
