Job Summary:

We are seeking a detail-oriented Office Admin/Payables professional to join our team. This role will be responsible for managing accounts payable processes, supporting office administration, and processing cash deposits.

Key Responsibilities:

  • Accounts Payable:

    • Process invoices and expense reports in a timely manner.
    • Verify accuracy of invoices and resolve discrepancies with vendors.
    • Prepare and maintain payment schedules.
    • Ensure compliance with company policies and procedures.
    • Assist with month-end closing activities related to payables.
  • Office Administration:

    • Manage office supplies inventory and reorder as necessary.
    • Support scheduling and coordination of meetings and events.
    • Assist with filing, data entry, and maintaining organized records.
    • Serve as a point of contact for internal and external inquiries.
    • Provide administrative support to other departments as needed.
  • Communication:

    • Maintain positive relationships with vendors and staff.
    • Communicate effectively with team members to ensure smooth operations.

Qualifications:

  • High school diploma or equivalent; associate's or bachelors degree in accounting, business administration, or related field preferred.
  • Proven experience in accounts payable or a similar administrative role.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with accounting software (e.g., Reynolds and Reynolds, DMS) is a plus.
  • Excellent communication and interpersonal skills.
  • Cash deposit experience preferred.
