Overview:
We are seeking a highly skilled Administrative assistant to support the CEO in driving the strategic vision and operations of the organization. This is not a traditional administrative role; we are looking for someone who can be a strategic partner to the CEO, with a strong understanding of business, exceptional communication skills, and technical proficiency. Duties:
- Act as a strategic partner to the CEO, understanding business objectives and assisting in the execution of company strategy.
- Prepare briefings and summaries of client interactions, industry trends, and key business updates.
- Assist in managing key strategic projects, ensuring timelines are met and results are delivered.
- Coordinate business reviews, tracking action items, and ensuring follow-ups are conducted.
- Build and maintain relationships with key clients and stakeholders, acting as a liaison on behalf of the CEO.
- Understand client needs, ensuring the CEO is well-prepared for client interactions and that follow-ups are managed.
- Attend client meetings to take notes, create action plans, and ensure the CEO is equipped with the necessary data.
- Manage the CEO’s calendar with an understanding of priorities and ongoing projects, optimizing time efficiency.
- Draft, edit, and review communications such as emails, presentations, and reports for both internal and external audiences.
- Collaborate with the communications team to help the CEO prepare for speaking engagements, conferences, and webinars.
- Ensure that key messages are consistent, well-articulated, and aligned with the company’s strategic goals.
- Conduct research on industry trends, competitors, and new opportunities to provide actionable insights to the CEO.
- Compile, analyze, and summarize key data from different departments to provide business insights and support strategic decisions.
- Actively participate in executive meetings and contribute to discussions with data-backed insights.
Mandatory Skills/ Experience:
- 5 years of experience in an Executive Assistant or Chief of Staff role, ideally supporting C-level executives in the technology or consulting sector.
- Experience working in an IT or consulting environment, with a clear understanding of the industry’s demands and trends.
- Strong understanding of business operations, including a high-level view of project management and client relationship management.
- Proven experience in analyzing business data, preparing reports, and contributing insights to executive-level discussions.
- Exceptional written and verbal communication skills; able to create polished presentations, reports, and client-facing materials.
- Strong interpersonal skills to build relationships across teams, clients, and partners. Must have a high level of professionalism, tact, and diplomacy.
- Ability to act as an ambassador for the CEO, representing them effectively in all interactions.
- High proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and collaborative tools like Zoom, Teams, and project management software such as Asana or Trello.
- Ability to quickly learn and adapt to new software, including CRM systems and business intelligence tools.
- Understanding of technology concepts and the ability to converse with technical staff.
- Highly organized, with the ability to manage multiple complex projects and timelines simultaneously.
- Skilled in prioritizing tasks effectively, ensuring the CEO’s time is allocated towards the highest-value activities.
- Ability to anticipate needs, think critically, and offer proactive solutions to potential issues.
