Are you our next Front Desk administrator?
Your attention to detail makes you perfect for making sure lease paperwork is complete, accurate, and meets eligibility requirements. You have excellent time management skills and follow through on assignments independently to meet deadlines.
Duties and Responsibilities:
- Posting commercial financial reports and client notifications
- Electronic records management (Property database, F drive, SharePoint)
- Updating various distribution lists that include Client email lists, answering service and property funder list.
- Database updates i.e. new properties, personnel updates and client updates Staples - National Account Administration – Multifamily properties.
- SharePoint Sites – updating documents for all operations department users i.e. phone roster, property staff assignment list.
- Archive records – Iron Mountain / assist with this process.
- Audit/track multifamily owner – property and tenant insurance.
- Assist in coordination of all office functions and company events.
- Special projects for RMs i.e. – AHMA conferences, travel and lodging
- ITS – coordinating with remote I.T. – laptop pickups and shipments to properties.
- Back up and trainer for Ops front desk, emails, resident care, supplies (office & janitorial) and incoming and outgoing mail / FedEx.
- Back up in all areas of operations, lease administration and record keeping.
- Recommend and implement enhancements to existing processes to improve efficiencies and reduce cost.
- Run office related errands as required.
- Duties as assigned by Director.
- Maintain confidentiality of your job, Coast’s practices, and Coast’s clients.
Qualifications
- High School education or equivalent
- Prior experience in the Property Management (or similar) industry preferred.
- At least 4 years of administrative experience
- Supervisory experience a plus
- Strong working knowledge of Microsoft Office 365 particularly Outlook, Word, Excel, Teams, One Drive, and SharePoint
- Valid Washington State Driver’s License and Insurance required.
